Our client is a unique business within Scotland delivering special interest holidays to the solo traveller market in Italy, Spain and Scotland. Our guests immerse themselves in the local culture of the area, practising cooking, painting, pilates, photography and language in stunning villas with their own chef and host with a group of like-minded individuals. Our holidays include visits to local towns and villages.
This role will see you support one of the busiest times of the year - June through to October, so this is around a five month contract. As Administration Coordinator of the Italian/Spanish team, you are the person responsible for maintaining the day-to-day relationships with all key stakeholders, villa owners, hosts, chefs, drivers, restaurant owners and other visits. This role is varied, and you will be required to multi-task and problem-solve on a daily basis to ensure that our holidays go as planned. You will be supporting the Operations Team in delivering a first-class experience to all our guests from end to end.
**Key responsibilities for this role include**:
- Booking visits and restaurants in destination for all holidays and update on company CRM
- Send all customer transport information to drivers on a weekly basis highlighting any private transfers
- Ensure that all villa owners/managers have relevant guest information in advance of the holiday
- Checking data related to trips, itineraries and villas on a weekly basis and inputting any changes or amendments
- Responsible for obtaining private transfer quotes from all drivers in destination and providing them to the Sales and Customer Experience team
- Weekly check-in with hosts and chefs on upcoming holidays
- Liaise and support the regional coordinator with planning and logistics for that region as required
- Hosting in situ as required to understand the product and offering to the guests
- Other ad-hoc admin duties to support the operations team and manager
**To be considered for this amazing opportunity, our client does require the following background / experience**:
- Fluent in Italian/Spanish essential
- Previous travel/tourism experience preferred but not essential
- Effective communicator
- Pro-active to solve problems
- Attention to detail
- Work well under pressure and have a “can-do” attitude
- Enjoys working in a team and is also self-motivated
- Are flexible in your attitude towards our guests to maintain our excellent service level and reputation
Salary; £19K - £20k (pro-rata) depending on experience (full-time working hours are 37.5)
Hours of work; Monday to Saturday, with day off during the week or time in lieu.
This role is office based with core hours between 9.30am-5pm. Flexibility can be discussed as and when needs arise.
