**Role overview**

The Private Office (PO) is looking for a highly organised person who has strong administrative skills ideally from a marketing background, who can work alongside the Savills Marketing team.

This role will support the members of the Private Office in finding promotional opportunities and partnerships, as well as support the overall smooth running and effective communications of the Private Office.

You will need to follow up on ideas and bring to life where appropriate. Part of this role will also involve general administration, organising weekly meetings and providing ad-hoc support to several team members when needed.

**Key responsibilities**
- Monitor and manage Private Office referrals
- Arrange department weekly meetings between members of the Private Office, take minutes and distribute them
- Work with the team to share industry updates, good news stories, off market properties etc.
- Keep a database of off
- and on-market properties up-to-date
- Responsible for updating and managing the PO Deal Book for the team, which we can use for PR, pitches and the one stop shop doc etc.
- Organise monthly “Breakfast Series” with banks, internal companywide teams and buying agents
- Support Global Ambassador visits to the UK for the PO, ensure they get the most out of their visit including organising PO property tours and networking meetings
- Keeping the Joint Heads up-to-date on new opportunities, following up where necessary and bringing to life
- Ad hoc administrative duties for several of the Private Office members when needed. This could be support on presentations, correspondence, diary management, arranging meetings and travel when existing PA’s require additional support
- Work with the Social Media team to positively promote the PO, creating strategies and following them through, choosing properties, proposing /developing content such as blogs, films and industry updates and managing a number of the team's LinkedIn pages.

**Business development**
- Working with the joint Heads of the PO, nurture and develop new and existing relationships
- Identifying and selecting likeminded brands to work with, to enable a cross pollination of UHNWI.
- Nurture relationships with existing partners, whilst actively seeking out new opportunities through our own network.
- Propose and execute partnership activities e.g. events, co-branded marketing and social media campaigns
- Introducing the right partner contacts to the team.

**Marketing**
- Work closely with our Savills Marketing and PR teams
- Proactively suggest ideas to push the PO brand and play an instrumental part in executing these ideas
- Seek out beneficial opportunities within the wider domestic and international Savills' network for the PO to be part of
- Develop content for the monthlyEDM’s and newsletter
- Assist with all HNW events including Masterpiece London and Chelsea Flower Show
- Manage digital sites including the main Savills PO website and Savills Connect, which includes updating available properties, new starters and leavers etc.
- Ensuring all new starters are on-boarded and set up correctly and given a warm welcome to Savills.
