**Executive Assistant**:
Provides support to the CFO and HR Director with organisation, scheduling, correspondence, meetings and preparational activities. Takes responsibility and ownership of the CFO’s/HRD organisation, project management, deadline compliance, and important documents and files.

This role is remote working.

**The Role**:

- As an Executive Assistant for Rexel, your main responsibilities will be to:_
- Manage diary, assessing priority of appointments and reallocation as necessary
- Following up with action on matters which fall within the Director’s responsibility - chasing responses, triggering follow-up action.
- Proactively plan 12 - 24 Months ahead in Calendar
- Keeps track of all contacts and visits and proactively plans site visits as needed on a rotational basis.
- Manage travel arrangements (including accommodation).
- Process incoming and outgoing correspondence
- Maintains office systems, including data management and filing.
- Maintain records of contacts.
- Screen calls, enquiries and requests, and deal with them when appropriate.
- Produce documents, briefing papers, reports and presentations.
- Organise meetings, assist in preparations, preparing agendas, pre-meeting briefings and meeting papers.
- Manage arrangements for Trustees’ and Sub-Committee meetings, including production/distribution of agenda and papers.
- Meet and greet visitors at all levels of seniority.
- Any other duties as may reasonably be required.

**The Person**:

- As an Executive Assistant for Rexel, you will need:_
- Previous experience of working at an Executive level of support at pace and under pressure
- Great organisational and planning skills with the ability to cope with contingencies and able to understand the difference in priorities.
- Has a natural ability to pay attention to personal details and anticipate executives’ requirements to ease effectiveness.
- Possesses good listening ability to take note of actions and outcomes.
- Demonstrates a proactive approach, with the ability to be one step ahead.
- Can act discreetly and confidentiality and is able to identify where this is important.
- Is used to working with a degree of flexibility to be available, sometimes outside of office hours.
- Able to cope with multiplicity of tasks while keeping an eye of the detail.
- Has a demonstrable track record of the ability to extend executive value.

This role is a FULL TIME - PERMANENT POSITION and we offer a pension, life assurance and 25 days holiday.
