**Introduction**:
To support the Nursing Department in maintaining a high standard of day to day operational service delivery, and support the organisation and co-ordination of staff in the Nursing Department. To ensure that all staff shortages are identified and bank or agency staff are booked to cover in order to maintain appropriate levels of staff on the wards
**Key Outputs**
1. To liaise with the Ward Managers on a daily basis to identify staffing shortages and cover staff shortfalls. Attending resource meetings as required.
2. Operate a system which provides information about staff availability for both employed staff and bank staff. Ensure all contact details are up to date so that staff can be contacted.
3. Establish a database for the staff off duties.
4. Circulate off duty to Senior Nurse on call and Ward Managers prior to the weekend.
5. Update database daily to maintain accurate records of staff movements, inclusive of annual leave/absence and cancellations of shifts.
6. Communicate changes to bank staff as required.
7. To liaise with Clinical Nurse Manager regarding use of agency and bank staff when increasing over the approved numbers.
8. To monitor and manage agency usage in regards to booking, checking and authorising invoices, authorising timesheets.
9. To ensure that all bank staff have completed their mandatory training.
10. To prepare and submit reports as required.
11. To collate and input overtime and bank payments as and when required, and submit these to the unit manager for authorisation.
12. Maintain, evaluate and update the unit’s filing and record keeping system.
13. Provide clerical/typing duties as required, ensuring confidentiality of all clinical/ administrative records.
14. To provide administration cover for the administration department as and when required.
15. To actively participate in maintaining the physical, relational; and procedural security to ensure the safety of all.
**Key Performance Indicators**
- Consistent ward cover of staffing resources
- Reduction in staff being double-booked
- Development of a centralized system
- Reports that are accurate and up to date regarding staff rotas
- Working within daily, weekly and monthly timescales
**Decision Making Authority**
- Handling of queries
- Screening of calls/information etc
- Working within Company guidelines
- Work in close collaboration with Charge Nurses, Lead and Clinical Nurse Manager
- To ensure bank/agency staff protocol has been followed, and liaise with Lead/Clinical Nurse Manager
- Respect individuals’ rights and opinions
- Obtain consent from appropriate Line Management prior to undertaking any activity
