Speech Graphics are looking for a reliable HR & Office Coordinator to help our office operate effectively every day.

This role will deliver tools, consumables and the necessary administrative support across the organisation in order to create and maintain a pleasant work environment, facilitating high levels of organisational effectiveness, efficiency, and safety. This role will work closely with the People Operations Manager, managing daily HR functions like keeping track of employees records and supporting the recruitment process.

Ultimately, the HR & Office Coordinator will help to deliver a functioning working environment which is comfortable, safe, and a joy to experience, so that colleagues can produce their best work under the best conditions. They will have the opportunity to be involved in a range of both HR and operational projects.

RESPONSIBILITIES:

- Maintain records of personnel-related data (updating HRIS and employee files)
- Respond to internal and external HR related inquiries or requests and provide assistance
- Support the recruitment process by updating ATS (Workable), assisting in shortlisting, issuing offer letters and employment contracts etc
- Calendar management and interview scheduling
- Monitor office supplies and placing orders (refreshments, stationary)
- Maintain vendor relationships
- Manage reception communications, greet clients and visitors
- Managing deliveries and postal services
- Support other teams with various administrative tasks (note taking, scheduling meetings etc.)
- Assist in employee onboarding and offboarding
- Assist the People Operations Manager in various HR projects
- Support other functions as required

**Requirements**:
ESSENTIAL SKILLS:

- Flexibility and ability to multi-task
- Excellent time management skills
- Excellent verbal and written communication skills
- Detail-orientated
- Ability to work well with others
- Experience in an administrative (or similar) position

DESIRABLE SKILLS:

- Experience using HRIS (HiBob, BreatheHR, CharlieHR)
- Experience of diary management/scheduling
- Familiar with ATS (Workable, TeamTailor, Greenhouse or similar)
