Operations Administrator

**Overview**:
**Duties**:
- Responsible for all administration relating to project bidding process, linking intrinsically to division intake.
- Organisation and administration of personnel associated logistics related to the projects i.e. offshore work teams, specific work teams, checking right to work documentation, availability of teams, visas, travel arrangements.
- Liaising with 3rd party travel company to seek best priced travel options.
- Organisation of project administration, ensuring coordination between 3rd party suppliers, 3rd party certifications are valid, etc.
- Ensuring organisation and upkeep of division documents, policies, processes.
- Ensuring efficient and correct filing of all documentation.
- Coordination and administration using the existing supply chain we have and ensuring it’s coordinated for the deliveries.
- Making sure all documentation is correct and on time for freighters to enable we’re meeting project deliverables.
- Ensuring total governance of the division’s administration and coordination, taking a continuous improvement approach.
- Ensuring invoices are ready and prepared for freighters.
- Raising appropriate Purchase Orders within finance system
- Liasing with finance team
**Experience**:
- Strong attention to detail and accuracy
- Flexibility in working patterns due to liaison with different time zones and different working week days i.e. Middle East
- Excellent organisation skills of self and those within the role scope (i.e. offshore, contractors)
- Confident user of Excel, utilising formatting, filtering, Pivot Tables etc.
- 2-3 years working as operations assistant role or similar
- Takes a proactive approach
- Actively seeks ways to make improvements
**Job Type**: Permanent
Pay: £26,000.00-£28,000.00 per year
