The IPA is the government’s centre of expertise for infrastructure and major projects. We sit at the heart of government, reporting to the Cabinet Office and HM Treasury. Our core teams include experts in infrastructure, project delivery and project finance who work with government departments and industry. We support the successful delivery of all types of infrastructure and major projects; ranging from railways, schools, hospitals and housing, to defence, IT and major transformation programmes. We lead the project delivery and project finance professions across government.

The IPA works with government and industry to ensure projects are delivered efficiently and effectively, and to improve performance over time. We work on the overall project delivery system, which includes the projects, people and processes that together create the right environment for successful delivery. We measure how well the system is performing, so we can learn important lessons and continuously improve project performance over time.

**The Private Office Group & Administration Team**

The Corporate Function is central to the smooth running of the Infrastructure and Projects Authority and delivering the organisation's strategic objectives. Comprised of the Private Office, Communications, Business Management and Administration teams, the Corporate Function provides direct support to the CEO and wider IPA and sets the tone for IPA engagement with its key stakeholders.

Within IPA, executive assistance and team support is pooled to ensure flexible resource allocation through matrix working to meet the priorities of the organisation, share best practice and encourage learning and development. These roles form an ‘Administration Team’ of peers across the IPA, and report to senior Executive Assistant Leads within Private Office Group.

The Business Management Team will work across a range of tasks to support teams across the IPA. This includes dealing with;
- Staff issues with SOP access
- Recruitment issues e.g. coordinating OGD transfers, fixing technical issues with
- recruitment tools
- Procurement and spending issues
- Ad Hoc activities e.g. scheduling events/ meetings for L&D seminars, IT problems.

**Job description**:
**Role Description and Responsibilities**

The role will work with the IPA Business Manager to lead on providing efficient, timely, and effective solutions for the Business Management functions in the Infrastructure and Projects Authority.

**Key Responsibilities**
- Lead on the process for getting all new starters set up on there IT equipment;
- Ensuring the Executive Support team in the IPA are trained and action Business Admin within their teams such as home working procurement, and new starter admin and supporting them where needed;
- Working with the Finance team to ensure that the IPA stays within budget on items such as small spend and L&D, with responsibility for using the GPC card as one of the Private Office Group’s delegated budget holder;
- Updating and maintaining the IPA’s org charts, workforce data, and other monitored data, to ensure that teams are following any internal processes, and escalating where needed;
- Act as point of contact for the IPA on the COVID-19 enquiry
- Supporting on all recruitment actions (when necessary) for the business; Including setting up interviews across a Hybrid working environment, uploading interview scores, and managing recruitment admin for panels;
- Please note this list of responsibilities is not exhaustive, but is a reflection of the key tasks. Additional ad hoc duties commensurate with the role may be included.

- Effective delivery of key functions in the Business Management team;
- Ensuring all new starters in the IPA are onboarded appropriately and we satisfy all requirements for leavers;
- Accurate and up-to-date org charts and workforce data (including tracking and reporting against performance management & staff changes).
