We are looking for a new team member as **Legacy Operations Assistant, **you will be working as part of the **Finance, Legacy** team reporting into **Legacy Operations Manager**.

- Providing effective and efficient administrative support to the Legacy case management team
- Enabling the team to deliver the charity's objectives relating to legacy case management.

The Legacy Income management department is a critical team as it is the largest source of income for the RSPCA, responsible for approximately £90m of the Society's annual income.

- **Working hours**: 35 hours / Mon - Friday.
- **Hybrid role**:Your base will be at Horsham West Sussex. Hybrid working isn't a tick exercise for us - we live the values. Expectation for this role will be **three** days per week in the **office** and this is open to flex around you and the operation

This role is being offered on a **permanent** basis.

**What a day might look like for you**

Here at **RSPCA **no two days are the same, as a **Legacy Operations Assistant** we've added a short summary of what a typical day might look like, for a full insight please refer to the attached job description.

What a day might look like for you:

- Setting up new cases on case management system (approximately 2,700 new probate notifications a year)
- Answering the department telephone line - respond to general legacy enquiries from Solicitors, Charities, Branches and members of the public
- Processing all BACS/CHAPS payments received and keeping up to date the central spreadsheet of all legacy transactions received processing cheques including notifying legacy case handlers when funds received
- Processing legacy payments for restricted legacy gifts
- Process legacy payments to branches including communicating to branches why the payment is being made
- Allocation of legacies amongst case handlers and overseeing the fair distribution of work across the team
- Flagging challenging or complex enquiries received with senior team members
- To arrange for the sealing of all department documents and deeds to be executed under seal, including arranging signature by authorised signatories.
- Check and maintain accuracy of the database to ensure management information is accurate, relevant, and up to date

- You will be a great all rounder in terms of having excellent interpersonal skills either written or verbal with the ability to communicate effectively at varying levels
- It is a busy role so we'd love for you to to comfortable working at pace and have the ability to prioritise a competing workload
- Because the of the nature of this role it's imperative to have impeccable attention to detail
- Tech savvy - it's highly beneficial to have experience working on Google platforms - sheets/docs and Slides.
- There can be emotionally sensitive communications so a strong desire to help with experience of delivering outstanding customer service is highly beneficial
- Ability to extract relevant data from correspondence in an accurate and timely manner is essential.
