**Job Summary**: The receptionist is responsible for the day-to-day reception and administrative duties within the practice; ensuring the smooth running of the reception and administrative functions of the practice. They also provide administrative and clerical support to the clinical staff and other members of the practice team. Reception Duties/Responsibilities: Meet and greet patients at the reception desk, providing a friendly and helpful welcome. Booking, cancelling and rescheduling appointments requests from patients by telephone, the practice website and in person.
Handing completed repeat prescriptions to patients and checking names and address. To provide cover for members of the reception / administration team during periods of sickness or annual leave. To attend practice meetings and receptionists meetings when required. To open and close the premises on arrival / departure.
To welcome visitors / guests to the surgery and to be responsible for the visitors book. To assist the nurses in ordering vaccines or medical supplies. Telephone Duties: To respond to patient enquiries regarding registration. To receive and record messages for doctors, nurses, healthcare assistant, practice manager or any other member of staff.
To receive and record requests for home visits. To telephone hospitals to ascertain results of tests and to make any appropriate enquiries about patients as requested. Have working knowledge of telephone system & transferring calls.Administration Duties/Responsibilities: To advise patients on relevant charges for private services, accept payment and issue receipts on request. To check incoming communications and pass them to the appropriate person.
To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure. Scan and file patient records and correspondence into patient medical records. To maintain the computer clinical system in an accurate and secure manner. To have a thorough knowledge of all Practice procedures & protocols.
Any other duties as required to meet the needs of the practice.CONFIDENTIALITY: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. In the performance of the duties outlines in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation.
All such information from any source is to be regarded as strictly confidential. Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data. HEALTH & SAFETY: The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice handbook. This will include: Using personal security systems within the workplace according to Practice guidelines.
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks. Making effective use of training to update knowledge and skills. Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards. Actively reporting of health and safety hazards and infection hazards immediately when recognised.
Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role.
