**Fleet Co-Ordinator**

**Role**
To co ordinate and carry out administrative duties within the UK wide fleet division and to support and enable the success of our UK wide fleet division. Ensuring that compliance and vehicle safety is met to a high standard.

**Key Responsibilities**
- **Fleet Team**

To be part of a first-class Fleet team for John Sisk & Son that collectively carries out the following functions ensuring the business adheres to driving safety laws and requirements.
- **Finance**
- Monitoring Vehicle invoice queries in a timely manner with suppliers and Sisk accounts team.
- Chasing credit notes, as necessary.
- Ensure vehicle hires are GRN’d on the internal system and showing on the live hire plant report.
- Vehicles to be off hired from the plant report as and when required.
- Obtaining repair costs and organising repairs with lease companies.
- Arranging for purchase orders to be raised for repairs carried out to vehicles.
- Log all damage/repair costs onto a spreadsheet.
- Involvement in quotation process from Lease companies for short term hire contracts.
- Reconcile invoices from Lease companies.
- **Fleet**
- Review weekly vehicle checks submitted, actioning any defects reported and report any missing vehicles checks.
- Analyse mileage at the end of the month for each vehicle to maximise efficiency.
- Ensure drivers have submitted a van declaration by the end of the financial year and submit to payroll.
- Maintain the vehicle database with long-term & short-term lease information and costs.
- Organising short term rentals as and when required.
- Ensuring vehicle allocation logs are live to facilitate with cost allocation.
- **Insurance**
- Liaising with the insurance claims department, submitting accident reports, and supporting evidence.
- Monitoring live insurance database.
- **Vehicle Tracking**
- Jointly maintain the online vehicle tracking platform
- Running reports and distributing to senior managers
- **Other duties**
- Other office duties.

**Experience & Skills**
- Good Telephone skills.
- Experience in fleet administration
- IT literate and competent in use of software packages such as Excel, Word, and PowerPoint
- Clear and effective communication skills
- Can do attitude essential.
- Enthusiastic and self-motivated
- Ability to multitask.
- Proven team worker and able to work alone.

**Qualifications & Training**
- At least 4 GCSE passes or equivalent including English and Maths.
- Good communication and telephone manner
- Ability to use initiative.
- Discretion and confidentiality
- Previous experience in Administration or Company Fleet preferred.
