**Conditions**:
To carry out and to assist the School Office Manager with providing a quality and comprehensive administrative support service for the Primrose Lane Primary School Office. The job will be located at Primrose Lane Primary School but as an employee of the Trust you may be expected to work and/or undertake training at other Trust locations when requested to do so. The tasks will include but will not be limited to the following:
**Main Responsibilities and Duties**:
**Reception**

To assist the School Office Manager with the “front of house” duties associated with the School Office.
This includes:

- Providing a warm welcome to all. Dealing with telephone and face to face enquiries in an efficient and professional manner.
- Ensuring that all messages are dealt with in a timely and accurate fashion and, where relevant, relayed to colleagues promptly.
- Dealing with incoming and outgoing post.
- To maintain the security and safeguarding of the school by controlling access and ensuring the completion of relevant procedures i.e signing in, issuing of identification badges.
- Providing information and support to other staff members as required.
- Providing hospitality for visitors.
- Ensure that all information is treated confidentially and to have absolute discretion at all times, complying with the school’s data protection procedures.

**Administrative**
To assist the School Office Manager with administration duties associated with the School Office. This includes:

- Updating manual and computerised records/management information systems.
- To produce reports from the Management Information System under the direction of the School Office Manager.
- Working with the office manager, monitor attendance including making calls to parents/carers of students not known to be present from the morning register
- Overseeing the administration of the Breakfast Club.
- Updating and distributing communications which may include but is not limited to the school’s website, school noticeboards, newsletters and other communication with parents, colleagues and the community.
- To assist the School Office in marketing the school.
- Dealing with monies received through Charity and PTFA collections.
- To check in/unpack deliveries and distribute to appropriate classes.

**Facts and Figures**:

- There are currently 180 pupils on roll at Primrose Lane Primary School plus.
- Software packages used include Microsoft Office and BromCom (MIS system)

**Contacts and Relationships**:
1. The Receptionist/Admin Assistant must establish good relationships with all staff, governors and parents and visitors particularly the Head of School, Office Manager and members of Primrose Lane Primary School office team.

2. The Receptionist/Admin Assistant also needs to establish good working relationships with Huish Academy Trust Staff, external organisations and other members of staff at other schools.

**Additional Information & Review and Right to Vary**:
Being an integral part of the School office team, the Receptionist/Admin Assistant is expected to maintain confidentiality at all times.

The post holder must attend mandatory training e.g Safeguarding and Health & Safety briefings.

This job description is as currently applies and will be reviewed regularly. The job holder may be required to undertake other tasks that can be reasonably assigned which are within the job holder’s capacity and grading scope.

**Job Type**: Part-time
Part-time hours: 15 per week

**Salary**: £12.38-£13.47 per hour
