**Job summary**:

- We are pleased to offer an exciting opportunity to join the External Affairs team and support the delivery of high-quality Secretary of State and Ministerial visits. This is a fast-paced and rewarding role which provides the opportunity to work with a diverse range of stakeholders including Ministers, Special Advisors, and Policy colleagues.**Job description**:

- The role will involve working in close partnership with Private Offices and Special Advisers to maintain a strong overview of diary planning and invitations.
- Working with external stakeholders and businesses to organise engaging events and visits.
- Working closely with Press Office to ensure that visits and events align with media requirements.
- Working closely with Digital Teams to help plan and deliver digital requirements at visits and events, including filming and photography.
- Drafting detailed itineraries and producing briefings for Ministerial events and visits.
- Maintain a tracking system to help the efficient running of Ministerial events.
- Develop a database of future visit options and locations.
- Draft and issue event invites and monitor and track RSVPs.
- Work closely with external suppliers to book catering, AV, transport, and security as required.
- Accompany the Secretary of State and Ministers on visits and provide onsite event support at larger events.
- Domestic and International travel may be required on occasion. Some out of hours work will be expected._

**Person specification**:

- Experience of diary management, office management or events planning.
- Strong written and verbal communications skills as the role will require regular briefings to Ministers, Senior Colleagues, and stakeholders.
- Excellent organisational skills and a strong attention to detail.
- Good influencing skills and the ability to prioritise and manage competing demands
- Ability to quickly build strong working relationships with people at all levels across organisations and business areas.
