**Role Purpose**

Provide general clerical & administrative support to the Beonna, acting as first point of contact for enquiries.

**Role Summary**
- Assist the team with booking of events, private hires and third party suppliers.
- Process ticket sales and support visitors booking events.
- Assist with social media and marketing.
- Assist with the administration of the building’s management and operations.
- Process financial transactions, invoices and keep financial records.
- To provide a welcoming environment and ensure an exceptional standard of customer service is delivered at all times.

**Hours and contract**
- Part Time 18 hours (30 hours per week for apprenticeship)
- 1 year fixed term contract
- With occasional evening, weekend and bank holidays

**Salary**
- National Living Wage (or equivalent apprenticeship rate)
- Paid monthly in arrears
- 28 days annual leave (pro-rata’d for part time)

Reporting To Visitor Experience Director

**Administration**

The post holder will process and maintain The Beonna’s day to day administration, including:

- Administration of Beonna’s hires, cultural event and heritage programmes:

- Maintain detailed records pertaining to the hire of the venue, ensuring that the relevant booking documents are sent to hirers & third party suppliers and that these are returned within deadlines.
- Process ticket sales and support visitors booking events.
- Assist with the creation of event documents and materials.
- Assist with the set up of events.
- Assist with the administration of marketing and social media.
- Act as first point of contact for the Beonna:

- Respond to telephone calls.
- Respond to enquiries for events, venue hire and the booking of the facilities for private events.
- Meet and greet hirers and visitors in person.
- Process and maintain the administration of building management:

- Log and report details of any issues arising / damage to the Visitor Experience Director.
- Administration of building and health & safety monitoring.
- Monitor levels of stock & building supplies, including ordering and replenishing of consumables.
- Process financial transactions including invoices, payments and banking.
- Assist with to the delivery of events & activities (onsite and offsite)
- Support the Visitor Experience Director by contributing to reports and evaluations of all areas of The Beonna’s programme / events and activities.
- Complete any other administrative duties as requested by the Visitor Experience Director

**Health and Safety**

The post holder will promote and maintain procedures and safe systems of working that comply with Health and Safety and Food Safety legislation.
- Uphold all Health and Safety Responsibilities for the Beonna Premises.
- Aid in the Health and Safety and keyholder training of all employees, volunteers and workers.
- Employees must be aware of the responsibilities placed on them under the Health and Safety at Work Act (1974), and to ensure that agreed safety procedures are carried out to maintain a safe environment for employees, patients and visitors.
- All staff have a responsibility to manage risk within their sphere of responsibility.
- All BCHT employees are accountable, through the terms and conditions of their employment, and statutory health and safety regulations, and are responsible for reporting incidents, being aware of the risk management strategy and emergency procedures and attendance at training as required.

**Data Protection**

The post holder will:

- Maintain Protection and Confidentiality for all data across staff, business and client.
- Maintain procedures to comply with Data Protection Policy and legislation.

If you have contact with computerised data systems, you are required to process and/or use information held on a computer in a fair and lawful way. You are also required to hold data only for the specific registered purpose and not to use or disclose it in any way incompatible with such purpose.

**Other Job Requirements**

The post holder will:

- Support the Visitor Experience Director on joint projects working as a team with other staff and volunteers.
- On occasion, champion and promote the Beonna at various events, both on and off-site.
- Flexibility to, on occasion, work evenings, weekends and bank holidays.
- Attendance at training and meetings as and when required.
- Observe good health and safety and follow risks assessments and relevant policies and procedures.
- Maintain a safe working environment and good housekeeping practices at all times.
- Undertake any other training or duties, as reasonably requested by the Visitor Experience Director.

**Key Working Relationships**

You will be expected to work closely with:

- The Beonna’s trustees, staff and volunteers as detailed on the organisation structure and any future staff.
