Executive Personal Assistant

MAIN PURPOSE AND SCOPE FOR THE JOB
The key tasks of this role is to proactively support the Managing Director - UK & Ireland in performing their daily tasks where you will be the first point of contact for the MD’s needs. You must be an independent and team playing professional who will play a key role in managing day to day queries, and supporting other internal stakeholders to help ensure that business continuity, profitability and customer satisfaction are achieved.
POSITION IN ORGANISATION
You will report to the Managing Director - UK & Ireland
THE MAIN DUTIES AND RESPONSIBILITIES WILL BE:
- Scheduling appointments and organising diary entries;
- Setting reminders for meetings, appointments and other important tasks;
- Making travel and hotel arrangements;
- Support the planning of local conferences, workshops, seminars and other events;
- Taking notes at meetings, preparing the minutes and subsequently distributing actions to all participants and to follow up;
- Liaising with other members of staff and external parties such as clients;
- Completing MD expenses;
- New Tender support collation;
- Presentation support;
- Project support;
- Customer sample Transfer - UK/ROW;
- Customer meeting support;
- Company cars - partial support; to include insurance and fuel cards;
- Support New starter set ups;
- Stationary ordering for all UK & Ireland locations;
- Maintenance of internal office space (servicing/repair);
- Support for IT;
- Updating of all internal memos/communications;
- Sourcing items and working with procurement;
- Health and safety support;
- Staff welfare and social;
- Support Subscription renewals;
- Support on external supplier contract renewals (cleaning company/copiers/phones etc);
- Point of contact for all UK and Ireland colleagues;
- Other ad hoc tasks and duties that arise.
YOUR PROFILE
- You must have at least three years of prior work experience in the same role or in similar administrative support roles.
- You must have discretion and tact;
- You are a problem solver with excellent attention to detail;
- You are able to work independently, and work well under pressure;
- You have the ability to prioritise and multitask efficiently;
- You have excellent organisational and people management skills;
- You can communicate with customers and internal stakeholders in a professional and constructive way.
- You have a strong command of the English language;
- You have strong communication skills;
- You have working knowledge of standard word processing, spreadsheet and other productivity software tools;
- You are an enthusiastic team player and will bring a positive attitude into the entire Tosca family.
