**Job overview**:
The Outpatient Clinic Admin Clerk/Receptionist will be responsible for providing clinic administration and reception support to patients attending Outpatient Clinics.

This will include receiving and greeting patients into clinic areas whilst recording the patient’s attendance and clinical outcome on the Patient Administration Patient centre. The Outpatient Clinic Admin Clerk/Receptionist will also be responsible for providing an appointment booking service to enable patients to book future appointments when leaving the department, this role may develop into the booking of future appointments into other clinical disciplines (i.e. diagnostic). This may also involve some telephone booking of appointments and the scheduling of forthcoming appointments, from other sources of patient enquires, whilst providing a confidential, efficient patient-friendly and outside agency contact service. Integral to the role will be the maintaining of the clinic administration functions on patient center ensuring that they are ‘cashed up’ in a timely and accurate manner at the end of each clinic session.

You will be interactive with the General Public, Nursing, Medical staff and other Trust Administrative and Clerical Staff.

You will ensure all reception processes are carried out in a timely and accurate manner to ensure an efficient Reception and quality service to all users.

**Main duties of the job**:

- Responsibility for Patient Care - Planning and Organising
- Responsible for providing an efficient appointment booking service.
- Responsible for the clerical processes associated with the nonattendance to out-patient clinics
- Responsible for dealing with telephone enquiries from patients, secretaries, wards and other departments
- Responsible for the booking of patient follow-up appointments within agreed timescales whilst ensuring that bookings are made within the strict parameters of the clinical schedules
- Responsible for communicating professionally and effectively
- Ensure Trust guidelines, policies and procedures regarding confidentiality, disclosure of information and Data Protection are followed
- To highlight potential delays and problems within reception service which may impinge on the effective and efficient running of the service
- To develop good working relationships with all service users
- Responsible for selecting the correct Patient Centre functionality for booking to ensure appointment type are correctly recorded
- To assist the reception supervisor in maintaining departmental performance by upholding agreed data quality standards. These include attendance outcome, disposal code, complete demographic details and ethnic origin
- Responsible for the identification of Overseas Visitors and bring it to the attention of the Overseas Visitors team
