We have a new and exciting opportunity for a **Lead Reception Administrator **to join the team and deliver excellent customer service at all times, providing a friendly and professional reception service to the Daresbury Laboratory, whilst undertaking a range of administration tasks. To be able to manage customer expectations and work with other teams to provide a seamless customer journey to achieve positive outcomes.

The role holder’s core remit is to manage and grow the function and co-ordinate the day-to-day running of the Reception services, along with leading the team to deliver a great first impression ensuring that visitors have a smooth transition from Reception to their host.

The role holder will ensure that staff and site occupants are responded to in relation to Reception related services.

Role Responsibilities
- Greet and register all visitors in a friendly and efficient manner, alerting host of arrival
- Assist visitors and new starters with set-up/log-on to site safety induction, checking that training has been completed/recorded.
- Act as system owner in the management and issue of door access cards
- Ensure that the site pass function is resilient to enable issue/update of ID passes using bespoke database systems (CDR and Ccure).
- Take a lead in managing of site pass renewals and data cleansing in line with GDPR
- Administer access control requests using a bespoke access control (Ccure) system and deal with any queries and or reports of faults
- Assist with organising and supporting of events ensuring full liaison with hosts of the event to ensure that all necessary security and reception requirements are addressed.
- Administer conference room bookings, ensuring that rooms are kept to agreed standard and any layout requirements are accommodated
- Oversee the allocation of STFC onsite-parking permits ensuring the workflow is responded to
- Manage EV (EV) Charge Point dashboard in relation to authorising access and ensuring correct charges in accordance with STFC EVC Policy.
- Facilitate the development of the Reception function to include originatation of reception documents so they are standardised and updated, this includes Reception Handbook/Standard Operating Processes and all workflow that passes through ensuring alignment with RAL.
- Attend and undertake regular team meetings and cross training.
- Coach and develop staff in any Reception led duties to ensure consistency of quality of customer service.
- Responsible for scheduling Reception cover to ensure delivery and continuity of the service at all times
- Be responsible for ensuring Security and Reception have the correct uniform and order by raising PO’s and liaising with suppliers.
- Assist with travel and transport bookings i.e. taxi bookings
- Deal with the incoming and outgoing post & parcels
- Be a super user of all systems relevant to role
- Liaise closely with Security Manager and wider security team to ensure that information is shared and security are aware of processes and site protocols
- Build effective working relationships with STFC departments and collaborators
- Ensure activities are delivered and managed in line with STFC SHE (H&S) Codes
- Update The Source web content on relevant service pages.
- Adhering to all procedures in the managing of sensitive/personal information
- Ensure Reception is kept clean and tidy at all times

The above duties will require limited travel and may involve occasional overnight stays

All members of the Estates team will, from time to time, be expected to lead or participate (appropriate to Band level) in STFC and Estates projects that may be outside their normal remit

As a member of STFC’s Estates Services, proactively support the Estates remit to deliver flexible, customer focused and efficient services that support the delivery of STFC’s vision, values and objectives.
