To undertake full receptionist duties, ensuring the service is efficient and welcoming. This to include booking patients in, making follow up appointments, changing appointments, answering telephone queries, dealing with visitors arriving at the desk, booking patients transport and monitoring waiting times. To undertake accurate clinic preparation ensuring all relevant procedures and processes are carried out and ready in a timely manner for the patients attendance. Ensure Chemotherapy treatment sheets are prepared and sent to Pharmacy, within strict deadlines for drugs to be prepared and drawn up in time for the patients attendance, ensuring any potential delays are dealt with in the appropriate manner.

To accurately create, update and amend all patient related information on the hospitals computerised Patient Administration System (PAS), including liaison with external hospitals for information as necessary. Create, maintain and update records on the departments own computerised systems which are used for statistical and audit purposes. This involves analysing referral letters to select the most appropriate ICD 10 code according to the histology and diagnosis of the patient. Respond in a professional and positive manner when dealing with confidential, or sensitive information.

Responsible for the safe keeping/hand over of donations received at reception desk. To carry out all procedures connected with the booking ready of patients on transport, liaising with other staff and areas as required. To undertake scanning of notes, results and correspondence into electronic patient records following Trust and Department Policies. To comply with all statutory, Trust and Departmental policies.

To track in and out all patient notes on computerised Case Note Tracking System. To be responsible for the timely processing of incoming and outgoing mail. To participate in staff appraisal and agree personal development plan. Be committed to continual development and training to meet the requirements and further development of the services provided by the directorate.

Assist with the training and induction of newly recruited staff and junior staff within the department. Participate in any audit processes deemed necessary by management, consultants, the Trust or other agencies. Collect relevant statistical data relating to patient activity as requested. To cover during the absence of colleagues as required.

Maintain good working relationships with colleagues and personnel at external hospitals to ensure a seamless quality service provision. Assist with the implementation of any changes to practice, or procedures, that arise from changes, or development ,of the service or department.
