Please note this role requires a DBS (this will be expensed by the comany) and need to be available to start at short notice and commit to work in July, August and September.
- To welcome all visitors to reception. To create a favourable impression of the Company through provision of a friendly, helpful and welcoming initial contact.
- Issue all visitors with a visitor badge, ensuring their names and details are correctly spelt and logged onto the electronic visitor passbook system.
- Contact the host or appropriate member of staff.
- Ensure procedures are followed to contact a member of the relevant department if their host proves unobtainable.
- To book taxis and executive cars for all Invesco staff as and when requested.
- Ensure the reception area is kept neat and tidy.
- Receive deliveries and ensure they are forwarded correctly to staff
- Act as an information source for general enquiries from staff and visitors
- Book meeting rooms as requested ensuring all the relevant criteria are met and allocating rooms appropriately.
- Liaising with the Client to ensure the smooth running of conference and events bookings.
- Liaise closely with the catering team to highlight any changes to bookings or last minute requests.
- Ensure meeting rooms are kept tidy at all times and arrange for rooms to be cleared as necessary
- Confirm and follow up room bookings on a daily basis to ensure the smooth running of all meetings for the following day
- Answer switchboard calls for multiple offices on a busy switchboard
- Maintain a high level of customer service whilst dealing with all calls.
- To ensure that customer enquiries are dealt with in accordance with service standards and within agreed response times.
- Ensure all calls are transferred correctly and efficiently
- To ensure those faults with any of the telecommunications systems are reported immediately
