**Hours**:37.5 hours per week, Monday to Friday 9am to 5pm

**Job details**:

- Coordinating, logging and monitoring all types of leave for medical staff, including Consultants, in the service.
- To act as the first point of contact for issues relating to Junior Doctors (e.g. sickness absence reporting, annual leave, study leave, shift swaps, locum cover), bringing urgent matters to the attention of the appropriate managers.
- Ensure rota is distributed to incoming doctors with a minimum of 6 weeks’ notice, in line with NHSI requirements. Proof of rota distribution must be submitted to NHSI as per Junior Doctor Contract.
- Responsible for the co-ordination of requests from Junior Doctors for annual leave, study leave, ensuring authorisation policy is followed and rota duties are covered.
- Work in conjunction with the Medical Education department to ensure all paperwork for agreed leave has been signed off & delivered to medical education
- Provide advice & options to Junior Doctors on working arrangements to help in organisation of annual & study leave, facilitating requests for changes where possible
- Management of rotas to ensure minimum core staffing levels are maintained at all times whilst ensuring that junior doctor regulations & locum booking procedures are adhered to at all times (both trust & agency locums)
- Communicate with outside medical agencies to fill rota requirements. This will include negotiating pay rate with the agency to ensure the division is paying within the set pay scale set by the Trust.
- Organise for clinical review of agency locum CVs to ensure the division only uses suitable staff at all times
- Maintain and update accurate records of all Junior Doctor activity, including annual leave, study leave & sickness absences for the division in accordance with Trust policy
- Ensure all changes to rotas, whether daily changes, or permanent adjustments to working patterns have been sufficiently communicated to all relevant departments Trust wide
- Regularly meet with specialty managers & relevant Consultants to discuss all related Junior Doctor matters, e.g. sickness returns, performance reviews.
- Escalate any vacancies to the appropriate clinical lead & service manager in a timely manner so that a plan for cover can be formulated
- Reorganise the rota shifts to meet operational demands & clinical governance commitments caused by unexpected absences
- Support the recruitment process efficiently by identifying posts & rotations to be advertised, creating the EMFs & participating in the interview process.
- Ensure leaver forms are completed by all Junior Doctors prior to their leaving date & delivered to the medical resourcing department in a timely way
- Assist in preparing Junior Doctor inductions & induction packs and ensure that all staff undertake the necessary statutory & mandatory training in conjunction with each SBU & the Medical Education Centre
- Maintain an up to date contact list for all Junior Doctors
- Sign off all Locum Bank timesheets in line with relevant monthly/weekly deadlines to ensure all doctors are paid as appropriate
- Attend any meetings as & when required with the appropriate information & data
- To work in an efficient, effective & timely manner and be adaptable to change
- To follow agreed protocols & policies seeking advice where appropriate
- The post holder must maintain a high degree of confidentiality in all aspects of the role in accordance with trust policies & the Data Protection Act
- When required, covering the work of colleagues to ensure potential risks are adequately dealt with
