**Job Advert: HVAC Admin Assistant**

Are you a highly organized and detail-oriented individual with a passion for the HVAC industry? We are seeking a dynamic HVAC Admin Assistant to join our team and support our fast-growing HVAC company. As an Admin Assistant, you will play a crucial role in ensuring the smooth functioning of our operations and providing excellent customer service.

**Responsibilities**:
1. Administrative Support: Assist with general office tasks, such as filing, data entry, handling phone calls, and managing correspondence to support the HVAC team's daily operations.

2. Customer Service: Interact with clients in a courteous and professional manner, responding to inquiries, scheduling appointments, and providing updates on service requests.

3. Scheduling: Coordinate with engineers to schedule service calls, ensuring timely and efficient dispatch of the HVAC team to various job sites.

4. Documentation: Maintain accurate records of service orders, invoices, and other essential documents. Update and organize databases related to customer information and HVAC equipment.

5. Inventory Management: Assist in managing inventory levels of HVAC equipment, parts, and supplies. Coordinate with suppliers and vendors to ensure timely replenishment.

6. Billing and Invoicing: Help prepare invoices for completed HVAC services, ensuring accuracy and prompt delivery to clients.

7. Technical Support: Offer administrative support to the HVAC engineers, helping them with paperwork, documentation, and other administrative tasks.

8. Quality Assurance: Collaborate with the HVAC team to ensure compliance with company standards and procedures, maintaining a focus on delivering exceptional service to our customers.

**Requirements**:
1. Administrative Experience: Prior experience in an administrative/helpdesk role is preferred, however this is not essential, role would suit someone part way through college/training.

2. Organizational Skills: Ability to handle multiple tasks simultaneously, prioritize responsibilities, and meet deadlines.

3. Communication Skills: Excellent written and verbal communication skills to interact with clients and team members professionally.

5. Customer-Focused: A customer-oriented approach with a commitment to providing high-quality service.

6. HVAC Knowledge: Basic knowledge of HVAC systems or a willingness to learn about the HVAC industry.

7. Attention to Detail: Meticulous in maintaining accurate records and managing administrative tasks efficiently.

8. Team Player: Capable of working collaboratively with the HVAC team and providing support as needed.
