**Job description**

We are looking for a Business Support Officer to join our Service Management Office (SMO) team. Your focus will be Capability and Resourcing, helping to build and maintain capability levels within our Operational IT function to ensure we can deliver our priorities.

As part of SMO, you’ll join a small and dynamic team providing a range of central business and operational support services for Group Infrastructure & Operations (GIO), responsible for a range of IT services within Defra. SMO drive efficiency and effectiveness across GIO by providing a range of services, standardising practices and promoting process expertise. SMO manage people, departmental performance and management information which is underpinned by a secretariat function to formally document governance meetings and provide support to the wider GIO function. As a Business Support Officer, you will deliver a robust resource management service, including end-to-end administration to ensure all resource requirements are scoped and approved to execute our Strategic Workforce Plan.

You will also develop and mature our processes as we are currently reviewing how we deliver our services to drive greater self-service and knowledge sharing.

**Responsibilities**
- Oversee submissions and approvals for resource requests, ensuring business cases are of a high quality and adhere to deadlines.
- Provide an end-to-end resource admin service including collating and analysing information for reporting and internal/external audits, records management and stakeholder engagement.
- Support a governance board for a commercial supplier working with one of GIO’s functions, ensuring that effective minutes and actions are documented and circulated, and keeping management team on track and time.
- Develop and maintain templates and resources for SMO related work that comes in via the front door process. This includes leading on elements of designing and implementing a Resourcing Hub on our new SharePoint site, GIO Connect, as well as championing the opportunities and efficiencies GIO Connect provides (training given).
- Engage with wider DDTS team(s) to ensure alignment to central resourcing processes and policies. This includes providing and validating data for DDTS colleagues, actioning grey list changes and chasing managers for people management actions where required.
- Oversee workforce admin processes by task managing workstreams of EO and AO resources in the team e.g. contractor time sheet approvals and updates to workforce data, distribution lists, IR35 assessments etc.
- Support managers with a range of recruitment exercises to provide a quality service, including sifting and interviews including guidance on interview questions as well as onboarding and offboarding processes.

**Skills and Experience**
- Proficient in Microsoft Office (especially Excel) or equivalent tools.
- Experience of records management on systems such as SharePoint or equivalent.
- Excellent people skills with an ability to work in a dispersed environment with a range of stakeholders.
- Demonstrable relationship building skills with strong written and verbal communications skills.
- Ability to prioritise tasks efficiently and manage time, activities and resources effectively. Highly organised with strong attention to detail.
- Demonstrable experience providing business support to efficiently deliver resourcing, recruitment, and/ or workforce planning activities.
- Demonstrable experience collecting and analysing data and using this data to produce reports.

**Salary**: £30,317.00-£36,606.00 per year
