Job Title: Subscriptions Operations Coordinator

Reporting to: GLOSSYBOX Operations Manager

Responsible for: Order processing, stock management, deliveries, dispatches, production.

**Purpose of Role**: Support the development and growth of the GLOSSYBOX and Beauty Box operations.

**Responsibilities**:
**Strategy Development**:

- Supporting senior operations manager with of all aspects of production planning, including critical paths, forecasting, deliveries, contracts, stock movements, kitting, order allocation, and dispatches.
- Support the warehouses and team on any ad-hoc requests to prioritise based on current production schedule.
- Provide support on any delays/difficulties with deliveries.
- Support with the pipeline of key projects for the Subscriptions businesses and defining future projects around the subscription key pillars of: growing the base and brand, global expansion, increasing profitability, driving greater share of consumer's wallets
- Continuous monitoring of competitor performance and initiatives to ensure THG stays ahead of market activity
- Keeps up to date with industry/market trends and networking opportunities
- Promoting and embodying the beauty manifesto and ensuring all team members buy into this vision

**Cross Team Collaboration**:

- Work with the sourcing teams to ensure correct information is being provided to brands based on shipping terms and ETAs to align with the production schedule.
- Work with tech and ecommerce teams to ensure the subscription model can be improved to support global requests and ensure jobs are prioritised and carried through.
- Work closely with the Logistics team to ensure all processes are followed for shipping requirements, warehouse movements and despatches. To also allow the best and most cost-efficient shipping methods to improve customer relations. This is to be reviewed on a regular basis and based on locale campaigns.
- Work with all warehouses to ensure inbound forecasts are met and accurate.
- Work with all warehouses to ensure production schedules are met.
- Work with all warehouses to ensure Outbound forecasts are met and accurate.
- Work with Ecommerce team to ensure all campaign requirements are met from an ops/tech perspective.
- Reconcile sourcing numbers against forecasted numbers and liaise with finance to find the most cost-effective method of sourcing to avoid stock levels from rising.
- Regular meetings with the Operations Manager/Head of Ops & Finance Controllers to ensure aged stock clearance is being pushed based on a financial perspective as well as a Warehouse space/cost perspective.

**Reporting**
- To provide weekly production updates including risks and solutions.
- Inbound forecast for all territories yearly, monthly and a weekly forecast.
- Aged Stock report showing any movements on historic stock and to provide any over sourcing data based on stock quantity received on recent deliveries.
- ME Forecast for stock position globally.

**KPI's**

Ensuring all kitted boxes for all territories are despatched as per the despatch date.
- Speed of boxes dispatched.
- Efficiency of delivery and kitting.
- Aged stock reduction
- Reducing productions costs in line with efficiency
