An exciting opportunity has arisen for a full - time Band 4 PA within the Critical Care department. Critical Care are looking for a motivated and forward thinking PA for the Critical Care Matron and SMT.

The post holder will play a crucial role in delivering a high quality PA service for the Matron and Critical Care SMT team to provide a high standard of administrative and secretarial support at all times.

Tasks will include diary management, appointment booking, telephone answering, typing up of letters, note taking, filing and any other administrative duties required

The departments are split between the Queen’s Medical Centre and Nottingham City Hospital. We accept patients from all of the major medical and surgical specialties and are a tertiary referral centre for many subspecialties. Of note we are a neurosurgical centre, burns centre and are one of the busiest major trauma centres in Europe. Among our staff are the National Lead for Organ Donation and the Vice Chair of NIHR’s Critical Care Group.

The Acute Care Pathway Team and departments within it are well established and successful, delivering a high quality service to patients, staff and visitors.

Detailed job description and main responsibilities

To provide a high standard of administrative and secretarial support to the SMT, ensuring a professional, efficient and confidential service at all times in order to ensure that the working life of the SMT runs as smoothly as possible.

The post holder will need to work autonomously and will be responsible for implementing administrative processes to support the effective running of the SMT’s functions.

Responsible for ensuring progress on actions are delivered by the SMT within agreed timescales, dealing with matters often in the absence of SMT.

The role/duties of the post are outlined above. In undertaking this role, the employee will be expected to behave at all times that is consistent with and actively supports the Trust values which are listed below.

Experience

Essential criteria
- Working at a similar level in a large and complex organisation
- Substantial Administration experience
- Excellent computer skills in Microsoft Word, Excel, PowerPoint, Publisher and Outlook.
- Excellent Keyboard Skills

Desirable criteria
- Experience of NHS in similar role
- Advanced keyboard skills
- Experience of supervising junior staff
- Use of electronic diary systems

Planning and organisation

Essential criteria
- Excellent organisational skills
- Shows willingness to assist/help others within the team

Training and Qualifications

Essential criteria
- NVQ Level 3 in Business admin or equivalent
- GCSE in Maths and English or equivalent

Desirable criteria
- Educated to degree level
- Shorthand
- First line management qualification

Communication and relationship skills

Essential criteria
- Experience of communication with people at all levels.
- Excellent communication skills
