The post holder has responsibility for the provision of a professional, comprehensive service for patients and members of the department and managing the patient pathway in line with the Oxford County Council policy.

To maintain, train and develop the administrative staff, as delegated by the Administration Manager, to provide a responsive, Qualitative, and professional operational service making the best use of the resources at the department’s disposal. To provide a comprehensive administrative and secretarial support to the Adult Social and Community Services Team (Social Work Team) based at the John Radcliffe Hospital, Churchill Hospital, and the Horton Hospital.
To take responsibility for keeping up to date with team and service developments and personal development needs

The Trust comprises four hospitals - the John Radcliffe Hospital, Churchill Hospital and Nuffield Orthopaedic Centre in Headington and the Horton General Hospital in Banbury.

1. To ensure that the services offered by the team (both permanent and
temporary staff) are efficient and effective but also sensitive to the needs of the service and are of the highest professional standard.
2. To supervise the administrative teams’ cross site, allocating workload and
providing support and direction in the form of quarterly supervisions.
3. To prioritise the work required of administrative staff, in order, to ensure
deadlines are met
4. To take minutes for best interest meeting when required, do staff appraisals and be part of the interviewing panel for interviews
6. Ensure that all enquiries; telephone calls and clients arriving at the office are dealt with tactfully and sympathetically. Advise and support in dealing with disturbed, distressed and/or aggressive clients.
7. Work with Senior Managers to build network of support and advice. To work as a team with the Administration Manager to streamline and standardise working practices.
8. Produce monthly weekly and daily performance statistical information for the hospital administration manager.
9. Assist with the managing of staff ensuring that all recruitment, appointment, and performance management processes (induction, supervision, personal training and development and staff care needs) re in accordance with Trust policies and procedures.
10. Update and maintain accurate records for the team.

11. To participate in induction training for social work and OUH staff including students and Administrators.

**12. In relation to IT**:

- Contribute to the training and development of admin and social work

staff in the use of LAS.
- Data input onto LAS, data cleansing and extracting reports as necessary
- Data Entry to Electronic Patient Record (EPR) as required by team
- Provide ongoing general IT training to members of the team
- Renewal of all RAO2 forms ensuring they are up to date and accessible

13. Fire Marshall to the Team and in relation to Health and Safety, support the Administration Manager in ensuring all Health and Safety requirements for annual audit are updated and maintained as required by Oxfordshire County Council and OUH.
14. Back Care Facilitator to the Team in relation to Health and Safety, support the Administration Manager in ensuring all Health and Safety assessments are completed and recorded
15. Appointed First Aider for the Department with Training Provided.
16. Working with the Finance Co-ordinator, training staff to give out Samaritan fund money

**17. Day to Day Activities include**:

- Keeping Supervision records
- Dealing with mail, Keeping Diaries and arranging meetings
- Ensuring protocols for beginning and end of day procedures are followed

according to guideline
- Action/recording all referrals and prioritising and passing on to relevant

Duty Social Workers/Senior Practitioner
- Management of Client Records, including ensuring Confidential data isdisposed of securely
