Job Title : Band 3 Team Secretary

Location : Craigavon

Rate : £11.11p/h

Hours : 37.5hpw

**MAIN DUTIES**:
1. Provide admin & secretarial support to teams across all MUSC clinical admin teams as required and appropriate to the band to include cover as and when necessary to ensure an effective secretarial service is maintained in the absence of colleagues.

2. Audio typing letters from Digital Dictation in a timely manner. Escalating any concerns with backlogs/missing dictations to Personal Secretaries/Service Administrator.

3. Record and update information on the Patient Administration System (PAS) or other computerised information systems.

1. Ensure all patients casenotes are appropriately maintained in accordance with Trust policies and procedures

2. Assist with validation & production of reports as required

3. Maintain manual and computerised filing systems for the department

7. Effectively deal with telephone calls from patients, relatives, hospital staff & GP’s and other individuals, taking messages, ensuring follow up & resolving any queries appropriate to the Band.

8. Ensure that documents and records are easily retrievable and archived as appropriate.

9. Undertake typing, filing, photocopying and other general office duties as required in the post.

10. Receive, record, sort, and prioritise mail, distributing & dealing with as appropriate

11. Participate in scheduling meetings in the unit as and when required.

12..Ensure difficulties in workload scheduling are communicated to the Service Administrator for action to ensure the smooth running of the Service.

13. Participate in personal KSF training and Self-development.

Essential Criteria:
1. 4 GCSEs at Grades A-C including English Language or equivalent / higher qualification and 1 years’ experience in a clerical / administrative role

2 years’ experience in a clerical / administrative role

2. Experience in the use of Microsoft Office products including Word and Excel or equivalent
