**REPORTS TO: Practice Manager**

Ravenscroft Healthcare Ltd. is a rapidly expanding private organisation offering services to both private and NHS sectors across London and Milton Keynes. We are looking for a dynamic and motivated individual to join the team as a Practice Administrator/Receptionist for our busy practice in Harrow, London. The person appointed will have strong administrative skills to help maintain excellent patient care within the private practice. Applicants must be able to multi-task, speak fluent English, competently use Microsoft office and have a fantastic phone manner.

**DUTIES AND RESPONSIBILITIES**:
**At Reception**:

- Meet and greet patients, visitors, consultants and staff at reception.
- Deal with enquiries from patients and other medical professionals.
- Interact with customers in a friendly manner and build rapport.
- Dealing with patient complaints in a calm and confident manner.
- Manage and facilitate a room booking system for internal parties and external partners.

**Administrative tasks**:

- Check and action phone messages daily.
- Daily sorting of the incoming post.
- Day-to-day management of referrals.
- Book appointments using our patient management systems and prepare clinic lists.
- Ensure that data entry, and invoice generation for Insurance companies including and chase-up is done without delay.
- Updating the call list and chasing up the clients on a regular basis and informing the insurance companies about the patient status.
- Report to the practice manager at the end of every day (referrals received, complaints, payments received and made)
- Patient tracking and chasing the invoice payments from insurance companies.
- Distribute medical reports and correspondence to the relevant individuals as deemed necessary and in line with information sharing guidelines and data protection.
- Check and and send Medical reports and records to the relevant organisation
- Update patient appointments, including chasing reports

Ensure all correspondence is presented in a professional manner.
- Regularly assess working practices to identify possible improvements and improve efficiency

**In the clinic**:

- Work with the team to coordinate work shift patterns, overseeing annual leave cover and sickness cover.
- Support colleagues and be a team player.
- Do the stock checking, Identify office stationery supplies and kitchen supplies that may be required

**Financial Management**
- Taking debit/credit card payments from patients
- Raising /Submitting invoices to insurance companies
- Ensure timely procurement of clinic supplies
- Bookkeeping
- Inventory Control

**PERSON SPECIFICATION**
- Strong understanding and respect for confidentiality.
- Experience as an administrator and working in a team-oriented office environment.
- Excellent interpersonal skills.
- Excellent verbal and written communication skills.
- Excellent telephone manner.
- Highly proficient in Microsoft Office (PowerPoint, Excel and Word) and other systems.
- Self-motivated and self-starter with the ability to prioritise and schedule work independently.
- Highly organised, detail-oriented and analytical.
- Flexible in terms of working times and responsibilities e.g., out-of-hours work may be required with due notice.
- Maintains professional conduct at all times, remaining calm and in control.
