**JOB DESCRIPTION**

**Job Title**: Personal Assistant/Administrator for South Kerrier and

IOS Primary Care Network

**Hours of Work**: 30 hours per week £17379 per annum

**Base**: Office based but will need flexibility to attend meetings and visit practices across the South Kerrier PCN if required and work from home dependent on workplace restrictions.

**Accountable to**: South Kerrier PCN CD and Manager

**MAIN ROLE AND PURPOSE OF THE POST**

The South Kerrier Administrator will work across the South Kerrier PCN to:

- Provide administrative support to the Chair of the board of South Kerrier

Primary Care Network Ltd and its Committee.
- Provide administrative support to the Clinical Director and Business and

Strategic Manager and Digital and Transformation Manager of the Primary
Care Network.
- Support the Primary Care Network in its role in the wider Integrated Care Area of West Cornwall and the Cornish Integrated Care System.
- To work and behave in a way that is consistent with the values and trust and honesty principles that are integral to South Kerrier PCN.
- Prepare and report on financial and service activity within South Kerrier PCN.

**SPECIFIC RESPONSIBILITIES**

**Administration**
- Organise meetings including Board meetings for PCN, Wider stake holders and South Kerrier Reference Group, to include sending out invitations and relevant Board reports, organising speakers and guests as necessary, taking minutes at the meeting and distributing prepared minutes. Updating action logs and ensuring these are actioned.
- Provide support to 1) The Chairs of the Board of Directors /Clinical Director and Executive Committee 2) Lead GP representatives for PCN related matters. 3) The Business and Strategic Manager of the PCN 4) Other PCN

Management
- Preparing letters and reports.
- Engaging with outside organisations.
- Collecting data and information as required.
- Responsible for co-ordination and upload of information to Teams
- Scheduling meetings and proactively managing diaries when required

- Running searches on clinical systems across PCN practices where required, collating data and relevant information and responding to third parties where appropriate with information
- Stock takes and reporting of covid vaccine
- Preparation and returns of monthly returns including workforce returns
- Working with practices to support achievement of PCN targets and incentives
- Working and liaising with PCN staff
- Arrange away days for the PCN
- Organising COVID vaccination availability
- Enhanced hours rota for the PCN
- Oversee the SK PCN Facebook page

**Finance**
- Generate and action purchase orders.
- Generate and monitor payment of all invoices.
- Reconcile all activity within the bank account.
- Help prepare monthly Management reports and 6 monthly Board reports
- Support the company accountants with information as required.

**GENERAL RESPONSIBILITIES**

Confidentiality
- Compliance with the General Data Protection Regulations when processing personal data for patients and staff.
- Awareness of the Caldicott Principles in relation to the role.
- Data breaches should be reported immediately to the Data Protection

Officer.
- Dealing with media enquiries in accordance with South Kerrier PCN and individual practice protocols.

**PCN human resources**
- Track annual leave/time owing, study and sick leave
- Be a point of contact for all leave requests
- Organise induction - Induction packs, Induction schedule, training

(Protocols, Bluestream, SystmOne and Teamsnet)
- Create personnel files for PCN staff members
- Help PCN staff with ongoing training - contracts, expenses
- Timetable regular ARRS supervision and engagement with Clinical Director and Strategic Business Manager
- Liaise with Clinical Director and Strategic Business Manager regarding vacancies, advertising, shortlisting, interviews. Co-ordinate and organise interviews where appropriate.
- Timetable regular reviews e.g. 3 month and appraisal

- Be a point of contact for any enquires/questions

**Health and Safety**

- All staff must contribute to the management of risk. This requires them to assess the risk in all situations, take of appropriate actions to mitigate any risks identified and report all hazards, incidents and near misses.
- All building occupied by staff South Kerrier PCN Group are non-smoking environments. No-one may smoke or vape in the building. Staff who smoke or vape outside the buildings should cover their uniform, if provided.

**New Systems**
- Help to sort contracts and information collection that is required
- Help to set up new systems in the PCN surgeries
- Be a point of contact for the system providers
