We are seeking a highly organized and detail-oriented Moto Sales Administrator to join our team. As a Sales Administrator, you will play a crucial role in supporting our sales team and ensuring the smooth operation of our sales processes. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys working with both customers and internal teams.

**Purpose**:
To provide efficient administration support throughout the sales process and act as first point of contact for customers.

**Reporting to**:
Sales and Marketing Coordinator

**Main Duties**:

- Coordinating the sales administration process from start to finish, including maintaining accurate records of prospective and active customers
- Processing orders and customer invoices on the SAP platform
- Maintaining regular communication with design engineers to ensure that non-standard orders are delivered in a timely way
- Keeping customers updated on progress of their orders throughout the process and being proactive in resolving any issues, escalating to manager as needed
- Reception duties, including answering external telephone calls and directing to the relevant person, greeting visitors and handling deliveries
- Ensuring customer complaints are handled promptly and in line with procedures
- Credit control activities including liaising with Accounts Administrator regarding outstanding customer invoices and contacting customers to chase payments, escalating problems to line manager as necessary
- Taking part in meetings as a team member and actively share experience, knowledge and solutions with colleagues
- Any other administrative tasks as required, including providing cover for auto sales/administration team members
- Carry out the duties and responsibilities of the post at all times in compliance with all company policies, including respect of Health & Safety policy and procedures, confidentiality, legislative requirements and our standards for integrity, professionalism and accountability

- Sales orders are handled in a timely manner and employee is proactive in communicating with both colleagues and customer at each stage of the process
- Customers are happy with the service they have received, shown by feedback, repeat orders and recommendations
- Builds positive working relationships with team members across the business

**SALES ADMINISTRATOR - PERSON SPECIFICATION**

**Knowledge, Training and Qualifications**:
Essential:

- Good working knowledge of Microsoft Office packages, including MS Word, Excel and Outlook
- Good written English, shown by qualification in English Language at Level 2 or above
- Good level of numeracy, shown by qualification in Maths at Level 2 or above

Desirable:

- Qualification in Business Administration or Customer Services
- Good working knowledge of SAP

**Skills & Experience**:
Essential:

- Strong verbal communication skills, including a friendly and professional telephone manner
- Ability to follow processes and contribute to process improvements
- Excellent customer service skills shown through experience in a customer facing role
- Ability to prioritise workload and handle interruptions
- Accuracy and attention to detail
- Experience in a busy, fast paced environment

Desirable:

- Experience in a sales administration role
- Credit control experience
