Societies Coordinator

**Department Overview**

The Engagement Team delivers projects that support student engagement across the Students’ Union and University, helping students to gain social and cultural capital that leads to the improvement of their outcomes. They organise student representation at all levels of the University & Students’ Union from Course Reps to the election of Sabbatical Officers. They support student campaigns to improve the student experience within the University, locally and nationally. They run extracurricular activity programmes that engage students in the wider University experience including societies, student media, fundraising and skills development programme.

**Role**

To provide a high standard of service to society members, society committee members and other student led activities facilitating student engagement and development. To support the provision of robust advice and guidance ensuring compliance with the law, minimising risk to safety and finance whilst maximising development opportunities for students.

**Main Responsibilities**
- To respond to routine enquiries from society members, providing high standards of customer care.
- Maintain a database of all societies, committees and members.
- Support the development of new societies.
- To provide support, advice and guidance for society events, including larger scale projects such as student conferences, trips, tours, and student balls.
- Ensure societies adhere to the External Speakers process.
- Work closely with the Sabbatical Officers to create methods for society committees and members to feedback on and influence the Students’ Union work.
- To support societies with their handover and induction activities for new committee members.
- Particular focus on developing new academic societies.
- Provide basic health and safety support and guidance regarding society activities, ensuring appropriate provisions are put in place prior to sign off.
- Provide facilitation and support for any inter society disputes and concerns.
- Work with Engagement Manager to run society committee elections annually.
- Work with the Data and Insights Analyst to gather relevant information to monitor performance against targets.

**Communication**
- To maintain excellent communication with all societies committee members.
- To devise and deliver effective training for society committee members.
- Create clear information for societies on procedures and other relevant information.
- Ensure the website information is up to date for members and society committees.
- To develop good working relationships with societies to enable the Students’ Union to provide excellent service and good standards of customer care.
- Maintain an excellent working relationship with key University staff such as estates, to assist with room bookings and events.

**Finances**
- Oversee the society finances, supporting the committee members with management and processes and ensuring compliance with the Union’s financial policies.
- Administer the Union’s Participation Fund.

**General Duties**
- Work in a manner which reflects the values and democratic structure of the Union as shown in the Union’s Articles and Strategic Plan.
- Keep up-to-date with relevant legislation, policies, rules and regulations relevant to the role.
- Adhere to all BSU policies and procedures.
- Ensure the delivery of a positive image of the Union, both internally and externally by displaying high standards of professionalism, politeness, conduct and service.
- Undertake any other duties as may reasonably be expected given the qualifications and experience.
- Participate in and take ownership of their induction, personal development plan, departmental staff meetings and be responsible for undertaking duties with full regard for others within the conditions of employment detailed in the Staff Handbook.
- Assist in key events and activities throughout the year eg open days, Freshers’ week and Elections as required.

**Location**

This role will primarily be based at the Moulsecoomb Campus, with regular travel to other campus locations as required in the provision of the duties for the position.

**Job Type**: Permanent

Pay: From £24,875.00 per year
