Support Clinic Co-ordinator/ Referral Clerk

The Dental Records team are looking for an enthusiastic self motivated and reliable person to join the Team.
This post is based within our central filing library and is essential to maintaining the storage and upkeep of our Dental Records.
You will also be responsible for the ordering and maintaining of good stock levels of stationary for the hospital.
Collecting patient notes from other departments tracking files into the library using our Patient Management System.
Experience using PMS would be an advantage but full training will be provided.
This at time can be quite a physical role and involve Manual Handling appropriate training will be provided.
Maintaining stock levels for stationary and stock ordering through oracle when necessary.
This is a Generic Job role so can be moved within other departments when needed.

1.To have responsibility for the administration of patient records on the UHB
Patient Management system and Salud, appointments and appointment
letters generated through telephone calls for a named clinic within the
University Dental Hospital in conjunction with the assigned Team leaders
and Clinic Co-ordinators.
2.To cover all clinics within the department as requested by the
HRIM/AHRM in the absence of a Clinic Co-ordinator.
3.To manage out-patient procedures as per local procedure manual.
4.To ensure that external referrals received in the Dental Hospital are dealt
with in accordance with hospital policy, assessing and responding to each
referral in an appropriate and timely manner.
1. Using the Patient Management System, register each patient generating a
front sheet, labels, sending and appropriate acknowledgement letter for
each patient, adhering to the protocols set down for the University Dental
Hospital.
6.To establish and ensure effective communication between clinic staff and
the Dental Records Department.
1. To follow the departmental protocols regarding the storage and filing of
patient records.
1. To ensure that any queries received in person or by telephone are
dealt with promptly and efficiently.
1. To ensure case-notes are tracked and filed appropriately at the end
of each session.
1. To follow the department protocols for case note tracking on the Patient Management System.
1. To attend clinical meetings with medical and nursing staff as directed by HRIM/AHRM.
1. To be familiar with the UHB policy on Concerns Management and deal with patient concerns accordingly.
