**Position**:
**Purpose of the role**:
To manage incoming telephone calls and ensure that visitors are greeted and directed in an appropriate manner. To undertake various administrative & maintenance tasks relating to the Reception area and wider business.

**Main duties & targets**:

- To maintain effective communication and working relationships with the Client Communications team, proactively identifying opportunities to assist the team.
- To quality-check, package and distribute AB samples.
- To create SEPs and assist with sending these to the clients.
- To prompt, chase and assist with job invoicing, feeding back any issues to the Director of Client Communications.
- To assist with updating client procedural dates and information at each stage of a project - e.g. Reconciliation and Control Data reports for Santander.
- To assist the Account Managers with project schedules, ensuring that key event dates are correct and updated in a timely manner.
- To assist the Director of Client Services with monthly reporting figures.
- To quality-check all completed job folders, ensuring that they are archived in a safe and structured manner (for future auditing).
- To assist with non-complex projects such as ‘Door Drop’ campaigns, updating contracts and creating labels etc.
- Liaise with account managers and the warehouse team as to which old stock can be destroyed and which old stock will require storage to be paid by the client on a quarterly basis.
- To assist with postal docketing and forecasting DSA collections & consumables.
- To prompt and collate ELC figures, documenting figures on the central spreadsheet and sharing information with the relevant departments.
