Job Purpose The post holder will be responsible for managing the effective delivery of an identified project with the support of the project manager. The post holder will be responsible for their designated workload within their agreed project area with the access to support, advice and management whilst not directly supervised. The post holder will work to professional standards and guidance at all times. The post holder will have line management responsibility of direct reports.

1. Administration Responsible for coordinating work in relation to specific project areas as agreed with their line manager. To support with identified project at planning, development and implementation stages. Monitoring and reporting on progress based on a range of different and complex information sources that require analysis and appropriate presentation to fulfil the purpose of the given report Provide and receive complex information in relation to project plans, meetings and progress including details of how the project will function such as procedures, policy and process.

To organise and participate in project meetings/groups ensuring relevant people are kept informed of project progress. Lead the co-ordination, organisation and planning of city-wide events, conferences and workshops. Works with and provides line management of direct reportee(s), establishing and maintaining ongoing contact and regular meetings, in order to set and monitor objectives. Manages performance and any capability issues in line with LCH policy.

An authorised signatory for financial instructions to Salaries & Wages in respect of new starters, changes to individual circumstances, termination of employment etc. An authorised signatory for individual travel expenses. Authorisation of monthly time sheets for immediate team. Contribute to the development of standards with the team for implementation across the service.

Ensure the project plan progresses by co-ordinating staff as appropriate and delegation of workload. Act as recruiting manager for recruitment of administrative and other staff as appropriate working within trust polices and guidelines. Manage computerised systems to provide information within service area as requested by line manager. Collate and prepare statistics on progress and any other issues as required by project.

Establish support networks with local service providers ensuring that the project meets the identified needs. Liaise with the Estates Specialist (Fire) and Estates Specialist (Security and Waste) if appropriate within agreed project area, in ensuring staff and/or external contractors etc are aware of fire, security and waste issues and are supported appropriately. Ensures the effective and efficient use of resources within their own sphere of responsibility adhering to standing financial instructions (SFIs). Within agreed project area, ensure invoices are correctly coded and authorised for payment/rejected using shared services Oracle system and to query any discrepancies that occur in line with agreed policies and timescales.

Ensure Standing Financial Instructions are adhered to in respect of monies received e.g. petty cash. Advise internal audit of local procedures and in conjunction with line manager respond to audit reports as required. Using the e proc system ensure all orders within agreed project area are coded correctly and forwarded to relevant approving manager.

Monitor stock ordered and authorised by direct reportee(s) up to designated limit. Responsible for ensuring the implementation of Policies/procedures and guidelines within service area and identifying and proposing changes to administrative Policies/procedures and guidelines as required. Carry out specified project audits appropriate to the role to monitor progress as directed. Complies with the policies and procedures of the Trust.
