Job purpose

Main Duties and responsibilities
- Manage the scheduling of patient appointments and coordinate with medical staff to ensure efficient use of time and resources.
- Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with data protection regulations.
- Prepare and manage correspondence, reports, and documents for medical professionals.
- Process and manage medical billing, including insurance claims and patient invoices.
- Coordinate with other departments and healthcare providers to facilitate patient care and services.
- Assist in the preparation of medical reports and presentations.
- Maintain office supplies and ensure the smooth running of the office environment.
- Provide excellent customer service, ensuring a positive experience for all patients and visitors.
- Provide executive support to the Medical Director including managing calendars, scheduling meetings, and organising travel arrangements.
- Prepare and edit documents, presentations, and reports for senior management.
- Act as a point of contact between the Medical Director and internal/external stakeholders.
- Assist with the organisation and coordination of executive events and meetings.
- Handle confidential and sensitive information with discretion and professionalism.

Qualifications and Experience
- Proven experience as a Medical Secretary with Executive Assistant duties within a private healthcare setting.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in using medical software and Microsoft Office Suite.
- Knowledge of medical terminology and healthcare procedures.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and a patient-focused approach.
- Ability to work independently and as part of a team.
