**Job Title**:
Project Coordinator
**Summary**:
The Project Coordinator will work closely with the Project Managers to help with the execution and successful completion of projects by providing administration support, scheduling, and recording meetings, assisting with both internal and external resource requirements, and acting as the point of contact for all project participants.
**Duties and responsibilities**:
- Assisting the Project Manager with all aspects of the execution and successful completion of projects.
- Scheduling meetings and recording decisions
- Acting as the contact point for all project participants
- Monitoring progress of the project and addressing potential issues
- Attend sales hand over meetings and action resource scheduling
- Attend Resource Scheduling meeting on behalf of the Project Manager
- Obtain quotes from suppliers when PM's request orders
- Process the quotes into purchase order format and issue to Admin for processing
- Liaise with suppliers and customers to chase up deliveries, arrange returns and make any amendments
- Ship parts to site and engineers
- Sourcing and arranging equipment hire
- Sourcing and arranging of agency labour
- Completing and signing off agency timesheets and submitting to agency supplier
- Submit AFPs monthly to Pay Apps
- Review and upload supporting evidence monthly
- Process timesheets received from subcontractors on Xero
- Ensure all Health and Safety requirements are being adhered to by issuing checklists for site inspections, recording results, and adding returned documents to the contract folder
- Ensure that customer handover documents are issued and completed by both parties
- Provide assistance and Administration cover to the admin team when needed
The role of the Project Coordinator “includes but is not limited to” all of the above. The role of the Project Coordinator may be changed by mutual consent with no less than one week’s notice.
