Medical Workforce Administrator

To provide administrative support to the medical workforce team, to ensure an efficient and effective service. This will include;
- The recruitment process
- On-boarding new starters
- Supporting junior doctors’ rotation
- Maintaining personnel records
- Updating HR and recruitment systems
To provide administrative support for the Patchwork system. This will include:
- Managing the on-boarding process to Patchwork
- Running regular checks to ensure all doctors on Patchwork meet employment check standards
- Reviewing database and ensuring only ‘current’ doctors are on the system
- Liaising with Patchwork to ensure permissions are given according to the permissions template
- To receive and welcome visitors to the department
- To provide a telephone reception service to the team responding to routine queries and responding to messages.
- Open, sort and distribute post Deal with routine correspondence and arrange for dispatch.
- Maintain all personal files, including all relevant and necessary information in order for audits to be successfully carried out.
- Ensure the Electronic Staff Record system is accurately maintained
- To respond to and manage queries received via telephone and the medical workforce e
- mail inbox.
- To create electronic personal files for new employees and bank workers
- To communicate with managers in relation to expiry of employees’ fixed term
- Enter documents into the TRAC recruitment system and update pre-employment checks as and when required.
- To ensure appropriate employment checks are carried out for job applicants and existing members of staff, for example: ID, right to work status, Certificates of Sponsorship/Leave to remain (formerly Work Permits), Disclosure Barring Service (DBS), professional registration, occupational health, fixed term end dates and reference
