**Main Purpose of the Role**:
The Post Exchange Executive will be responsible for:
1. The production of completion bundles

2. Communicating with clients in relation to the completion process

3. Dealing with completion paperwork and associated tasks

4. Closing down completed files and ensuring all remaining bills & balances have been cleared

5. Archiving files

6. Providing additional support to identified clients

7. Assisting with a Post Completion workload

6. Other tasks deemed appropriate by your line manager

1 years’ experience of a live file load in a residential conveyancing environment is essential. The role is dependent on the ability to establish relationships quickly, manage expectations, and contribute positively to our team. All our team members must be focussed on meeting the needs of our customers and have a drive and hunger to deliver the highest level of customer service. This role will accommodate the progression to Licensed Conveyancer for those currently studying.

**Key Responsibilities**:
1. To always provide the highest level of customer care to clients and industry partners.

2. To undertake the production of completion bundles:
a) Client Bills

b) Client Completion Statements

c) Associated Payment Request Forms

3. Collaborate with the Accounts Department to ensure the efficient completion of your selected files, to include where necessary the authorisation of funds through the company client account.

4. Appropriately submit Stamp Duty Land Tax (‘SDLT’) and Land Transaction Tax (‘LTT’) Returns.

5. Appropriately deal with any leasehold requirements (where appropriate) to include, but not limited to the preparation and service of notices of assignment/charge, dealing with Deeds of Covenant formalities and dealing with transfer of shares in management companies.

6. Effectively and empathetically communicate with clients to ensure the best completion experience possible.

7. To close down completed files:
a) Ensuring all relevant policies have been ordered

b) Ensuring all completion paperwork and related documentation has been dealt with

c) Ensuring all outstanding bills & balances have been cleared

d) Archiving the completed file in line with company policy

8. To deal with the verification and release of Service Charge Retentions.

9. To provide additional support to clients identified as requiring assistance as a result of additional client care needs or on expedited files

10. To provide assistance to the Post Completion Manager

11. To undertake related tasks as your line manager sees fit

12. To participate in the generation of ideas for the improvement of the service

13. To maintain accurate and up to date records on our bespoke internal case management system at all times for the benefit of all parties and team members.
