To work as part of the DCO team within Hertfordshire Community NHS Trust (HCT) and Hertfordshire Partnership Foundation Trust (HPFT) and develop an effective system for monitoring Health engagement with SEND at both place and system level.To support the DCO team with the management of projects, gathering information, writing reports and undertaking enquires to deliver the DCO/DMO (Designated Medical Officer) workplan.To provide and coordinate administrative and secretarial services; including for example, the preparation of agendas, taking of and writing up of minutes, taking appropriate follow-up actions as and where required. To liaise with wider ICB teams and external partners to support the deliver the DCO/DMO workplan.To support the DMOs across Hertfordshire with defined projects where requested by DCO. RESPONSIBILITIES / ACCOUNTABILITIES: Support the provision of the Health-SEND governance arrangements and provide assurance related to SEND. Administer the DCO workplan including agenda setting, minute taking and risk registers.

Support the DCO/DMOs in monitoring the arrangements and implementation of national, regional and local SEND initiatives. Work collaboratively with other teams, under the guidance of the DCOs to provide information for the SEND agenda so that information is current and accurate.Collate, analyse and triangulate SEND data and intelligence, including audits, analysis and presentation of graphs and control charts, and prepare reports to various working groups, which will assist in evaluation of the services being provided. Support the DCOs in the monitoring of actions and acting on intelligence in relation to the quality of commissioned services. Support with capturing and maintaining data relevant within a SEND dashboard.

Assist in the collation and monitoring of action plans pertaining to SEND information. Support and coordinate preparatory work for regulatory and other quality visits. Managing the electronic diary for the team, including managing and prioritising appointments as appropriate.Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.Supporting teams in project management and participating in departmental projects and meetings.Inputting, monitoring and checking data, required for finite and ongoing projects within the teams.Liaising with wider ICB/ SEND teams to enable collaborative working and communication of information as required.Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.Developing and maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team.Be responsible for ordering stock, laptops and mobile phones and monitoring and controlling stock levels.Support the development of policies/procedures for use within the SEND Team.Participate in Research and Development activities as required. Undertake administrative duties such as photocopying, and mail-out distributions and ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.

Work together with other administrators/PAs to provide an effective network of communication including dealing with visitors to the base and being flexible to cover other administrators general duties on the base and to carry out other appropriate delegated duties as required.
