**SALARY**:£19,585 per annum

**JOB TYPE**:Full-Time, 6 Month Temporary Contract

**WORKING HOURS**:37.5 hours per week, Monday to Friday between 8am & 6pm

**JOB OVERVIEW**

We have a fantastic new job opportunity for an Administrator / Clinical Resources Administration Assistant who has excellent customer service, communication, administrative, and organisational skills with experience liaising with customers or clients overthe phone in order to arrange appointments.

Working as an Administrator / Clinical Resources Administration Assistant you will manage the operational processes to ensure clients employees receive their vaccinations in line with the vaccine schedule and within clients SLA (Service Level Agreements).

As an Administrator / Clinical Resources Administration Assistant you will be required to manage the end to end immunisation process within SLA and provide administrative support to clinicians and clients.

**DUTIES**

Your duties as an Administrator / Clinical Resources Administration Assistant will include:

- Scheduling appointments via a bespoke electronic system EMMA
- Processing clinic vaccination orders and arranging vaccination deliveries
- Provide adequate information to clients regarding the vaccination process
- Input clinic activity charges on EMMA
- Liaise with diary co-ordinator and arrange on-site nurse sessions with the client
- Collate requirements ahead of client site visits and provide the clinician with all the relevant equipment, often up to 2 weeks prior
- Review and update the vaccination recall spreadsheet arranging follow up appointments set out within the vaccination schedule
- Update the vaccination tracking spreadsheets following clinic appointments
- Organise blood results for triage and generate a report based on the clinical advice
- Review and authorise invoices for finance
- Upload information onto a document portal Medidocs
- Understand, demonstrate, and promote the Company’s Genetic Code
- Assist with induction and training of new employees
- Manage confidential data in line with the UK GDPR
- General Office Duties
- Contribute ideas and suggestions to continuously improve the Customer & Employee Experience
- Assist with colleagues work during absences

**CANDIDATE REQUIREMENTS**
- There are no formal qualifications required for this role however an NVQ Level 2 (or equivalent) in Customer Services or Administration is desirable
- Experience of dealing with clients/customers is essential
- Knowledge of Outlook and Word is essential and knowledge of Excel is desirable
- Good time planning, organisational and diary management skills
- Excellent communication skills both written and verbally
- Ability to manage own workload effectively
- Responsible, professional, enthusiastic and pro-active
- Able to work well alone or as part of a team
