Overview:
Energy Resourcing are currently recruiting for a Part Time Senior Executive Assistant to join their team in Aberdeen for the duration of 8 months. This role can be delivered by hybrid working with regular time working from home balanced with attendance at our Aberdeen Office.

**Responsibilities**:
- Providing efficient executive support at Global Vice President and Regional Director level- Oversight and understanding of project timelines and critical milestones.- Extensive calendar and diary management (with an ability to manage, delegate and make decisions).- Coordinating schedules, meetings and appointments- Creating documents using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, to produce correspondence and documents and maintain presentations, records and spreadsheets.- Attending meetings, taking minutes, and taking actions.- Travel management; Arranging travel, visas, and accommodation.- Credit card reconciliation / expenses / invoices.- Handle confidential documents / files.- Screening phone calls, enquiries and requests, and handling them when appropriate.-
- Process invoice requests, accordingly, ensure coded appropriately- Sending internal comms to the business on behalf of the VPs/Director- Producing documents, briefing papers, reports and presentations- Liaising with clients and other staff members- Submit weekly timecards for the Global VP- Arrange Facilities requests- Flexible hours to support business travel within Global time zones.

Qualifications:

- Demonstratable experience in Administration and Senior roles
- Appropriate qualifications and training for Senior level Admin assistant, secretarial or similar roles.
- Excellent knowledge of the company’s HSSE policies and practices.
- High level of proficiency in preparation of documents, presentations and spreadsheets using Microsoft Office software, including Word, PowerPoint, Excel and Visio.
- Ability to quickly establish rapport with Snr Executives & Directors and staff at all levels.
- Excellent time management and priority setting skills to meet the varied demands of the project.
- Ability to adapt to manage a wide range of work demands from simple to more complicated tasks.
- Look for opportunities to improve the efficiency and effectiveness of the business.
- Maintain absolute confidentiality for all individuals and their work within the business.
