Administrative Assistant

We are looking for an organised, pro-active team player to join our People Experience & OD team to provide exceptional administrative support to our team of People & OD Partners and Assistant People Partners. If you enjoy working in a busy, friendly team with plenty of variety as well as opportunities for learning and growth, we’d love to hear from you.
This is a full time post working 37.5 hours per week.
To provide comprehensive and effective administrative support to the People
Experience & OD Team, driving continuous improvement and delivery of high
quality care through effective and efficient administrative processes.
To act as a role model within the team and for the team both within the Trust and externally, demonstrating the Trust values at all times. To develop and maintain effective working relationships at all levels of the organisation.
Sustainability is integral to the Trust achieving the NHS Net Zero target. All staff are therefore actively encouraged and supported to implement new ways of working within their field of expertise.
Monitor inboxes and phone queries, dealing with routine enquiries or
passing on to the relevant area.
Set up and attend meetings, take minutes, circulate agendas.
Liaise with other departments within the Trust as well as external
stakeholders, providing appropriate information as required.
Maintain sufficient stocks of stationery and place orders as and when
required.
Be responsible for reporting faults in office equipment to the appropriate
contact points.
Maintain filing systems - both hard and soft copy, ensuring information is
appropriately named, saved and filed to enable the team to find and
retrieve files efficiently, while adhering to GDPR and information
governance protocols.
Support with the administration of surveys and other evaluation methods.
Accurately input, retrieve and collect data and information using the
Departmental and Trust systems - collate data and create reports.
Provide administrative support to various projects and events.
Diary management for senior managers.Act as an ambassador for the department and promote its services.
Undertake training as required, in accordance with Health and Safety
regulations and the Trust’s policies.
Contribute to driving efficiencies and continuous improvement.
Any other duties as deemed appropriate by senior staff.
