Receptionist - Serviced Office

**General Job Description**:
**KEY RESPONSIBILITIES**
- Be competent in the use of office/administration software, mainly Microsoft office.
- Self-responsibility for being professional, calm and positive when interfacing with internal and external clients.
- Answer the telephone with a smile, within 4 rings, managing one phone line for 15 Queen Street enquiries, as well as virtual office client calls.
- Booking external meetings, liaising with clients for lunches, as well as maintaining our online internal booking system for tenants.
- Ensure reception, toilets and kitchens are always tidy, stocked and orderly.
- Ensure all three meeting rooms are clean & tidy after every use, putting away cables, controllers & crockery. As well as, making sure our phone booths are neat, clean and orderly.
- Ensure laundry is collected and returned promptly by Launderette.
- Ensure all relevant external and internal mail is dealt with promptly and efficiently.
- Ensure security of the building is always maintained in conjunction with the Property Manage (in particular, opening and closing of the premises).
- liaise with the head barista to ensure that stock is ordered in a timely manner.
- Work with the Property Manager to maintain annual or monthly health and safety records.
- Notify the Property Manager immediately of any maintenance work needing carried out internally & externally.
- To ensure confidentiality of information (written, oral and electronic) is always preserved.
- To contribute to a culture of continuous improvement.
- To deal with complaints promptly and according to organisational protocol.
- Ensure the finance department is sent any invoices or receipts for purchases made on behalf of the business.
