This is a permanent post based Branston Registry, Burton-Upon-Trent. Applicants are advised that there may be a requirement to travel, with potential overnight stays, to meet business requirements.

**Salary and Grade**
This post is Band EO.

New entrants to the Civil Service will be expected to join on the minimum of the pay range.

Existing Civil Servants will have their salary calculated in accordance with the Department’s pay on transfer / pay on promotion rules.

**Background**

The Offender Subject Access Request (SAR) team sits within the Ministry of Justice’s (MoJ) Security and Information Group, which has a broad range of responsibilities including physical and cyber security through to information management and records compliance. As part of the Information Services Division, our aim is to ensure the MoJ holds information in compliance with legislation; that all information is correctly stored, accessible, and shared appropriately; and our information is protected, and risks managed. Knowing what information and records are held and having the right information available at the right time by those who need it or request it, is at the heart of an excellent justice system.

The Offender SAR team manage and process SARs on behalf of the MoJ, liaising with its agencies to retrieve personal information held on the requestor and then prepare is for release in compliance with the Data Protection Act 2018 (DPA). The team receives more than 5,500 requests per annum.

**Role Purpose**

This is an exciting opportunity to join an expanding team responsible for overseeing the Department’s response to SARs made under the DPA by offenders.

We are looking for someone who is a self-starter and highly motivated, with excellent communication and organisational skills. You must possess an enthusiasm for service improvement and the ability to investigate problems, identify solutions and design training materials for our Team at Branston.

This role does not hold any line management responsibility. However, you will need to liaise closely with your peers and line managers to discuss and review new team members performance, checking individual performance and personal targets are met to ensure the team achieves 100% compliance wherever possible and developing staff to reach their full potential. You will be expected to take online management duties if the need arises and address any issues with staff you witness. An EO role is a first line manager grade, and so you will be expected to demonstrate leadership and management skills, even if you do not directly line manage staff.

You will provide support and advice to staff on their cases, complete quality review checks across the Offender SAR process, using your findings to put into place remediation plans and updates to standard operating procedures, support ongoing development and reward performance where appropriate. Together, with your EO colleagues, you will identify performance and process improvements.

A flexible, positive, and can-do attitude is vital, using your resource to support the team where needed to achieve full compliance with all the SARs it receives. You will join a large team that is undertaking transformational change and seeking to take advantage of digital technology to continuously improve.

**Main Activities / Responsibilities**
- Have an overview of all the cases being vetted by the team
- Provide consistent initial and ongoing/refresher training to all staff - updating training packages to reflect changes in practice where appropriate
- Horizon scan for upcoming changes to Government guidance or legislation and liaise with legal and other colleagues to ensure that training is provided which allows practices to change to meet deadlines
- Identify trends from analysis of quality assurance work - either at an individual, or unit wide level, delivering training and support to resolve any issues
- Feedback to staff, managers and senior leaders on quality and training needs/performance
- Quality assurance a % of cases in the unit per month, pre
- and post-despatch to prevent breaches and/or identify learning needs
- Develop clear Standard Operating Procedures (SOPs) for the unit and training packages - keeping under review and amending as appropriate
- In the event of a near miss/data breach a member of this team will be allocated to the individual/s involved to ensure this type of error does not happen again
- Work with team leaders to identify any learning from data breaches or near misses identified.
