The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels: a. Maintaining and monitoring the practice appointment system b. Process personal, telephone and e-requests for appointments c.

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately d. Using your own judgment and communication skills, ensure that patients with no prior appointment but who need an urgent consultation are seen in a logical and non-disruptive manner e. Action all incoming faxes, f. Signpost patients to the correct service g.

Process incoming and outgoing mail h. Initiating contact with and responding to, requests from patients, team members and external agencies i. Process referrals to external agencies such as secondary care using the electronic referral system (ERS) j. Process calling letters are requested k.

Process all DNA letters in accordance with current policy l. Action GP2GP tasks m. Read code data on EMIS system n. Photocopy documentation as required o.

File and store records as required p. Data entry of new and temporary registrations and relevant patient information as required q. Input data into the patients healthcare records as necessary r. Scanning of patient related documentation and attaching scanned documents to patients healthcare records s.

Manage all queries (including administrative queries) as necessary in an efficient manner v. Carry out system searches as requested w. Maintain a clean, tidy, effective working area at all times x. Monitor and maintain the reception area and notice boards.

Support all clinical staff with general tasks as requested
