**JOB DESCRIPTION**
Bloxham School seeks to appoint an Exams Administrator to provide support to the Head of Data and Exams in ensuring that the centre is compliant with all awarding body regulations and deadlines.
**Main Duties and Responsibilities**:
- To be responsible for the day-to-day running of all external examination cycles throughout the year
- To be responsible for the planning and running of internal examinations in accordance with school regulations
- To provide support to the Head of Data and Exams in ensuring that the centre is compliant with all awarding body regulations and deadlines
- To provide other administrative support to the Head of Data and Exams as required
- To provide administrative support to the Special Educational Needs Coordinator (SENCo), in particular with the management of access arrangements
**Responsibilities: external examinations**
With the support of the Head of Data and Exams, have responsibility for the day-to-day running of all external examination cycles, including university admissions tests, in accordance with the awarding body regulations and ensuring that all deadlines are met.
**Planning**
- Maintain a detailed knowledge of the awarding body regulations, in particular the JCQ Instructions for Conducting Examinations (ICE) and supporting documents, keeping abreast of updates / developments to ensure that all examinations are conducted in accordance with the regulations
- Make use of relevant support and training available from external stakeholders (awarding bodies/JCQ/network group/The Exams Office etc.)
- Maintain systems to manage all aspects of the exams process
- Use JCQ and awarding body online tools where required, e.g. for managing access rights for school staff
- Contribute to the creation/review/update of exam-related policies/procedures
- Be prepared to take an active role in the school’s exam contingency plan.
**Entries**
- Assist with the preparation of the schedule of pupil recharges to ensure that exam fees are recovered through the end-of-term billing process
- Support the SENCo with administrative tasks
**for example**:
- maintenance of SEN records in the school’s management information system
**Pre-exams**
Proactively support the Head of Data and Exams with (and increasingly take responsibility for):
- supporting Heads of Department to ensure that external coursework and moderation deadlines are fully met
- Input and maintain relevant planning data in school information systems
Book the necessary venues for the examinations, liaising with stakeholders to ensure that rooming conflicts are resolved
Manage arrangements for the receipt and storage of confidential examination material
Assist the Head of Data and Exams with:
- training, updating and management of the school’s team of invigilators
Support of the Head of Data and Exams in ensuring that all examinations are conducted in accordance with JCQ regulations and/or awarding body rules
Take responsibility for all daily exam tasks, for example:
- preparation of rooms and associated documentation (e.g. seating plans, desk cards)
- secure-room tasks, such as checking and splitting of exam packets
- support of the invigilation team to ensure that all exam rooms are operated according to the requirements, and that special arrangements such as supervised breaks are properly implemented
- checking, packing and dispatch of completed exam scripts
- maintaining the files in the exams office so that documents are appropriately stored and/or confidentially disposed of.
Manage the distribution of provisional statements of results to pupils on results days
Administer post-results services, in accordance with the regulations and school processes
Manage the receipt, checking and distribution of examination certificates.
With the support of the Head of Data and Exams, have overall responsibility for the management of all internal examinations, with the aim of delivering efficient and well-run exams which effectively prepare pupils for their external exams.
This will include:
- Designing and distributing internal examination timetables which take account of the requirements of the school and of Heads of Department
- Planning the timetabling, rooming, and resourcing of the examinations, including invigilation requirements and the resolution of timetable clashes
- Booking and preparing the necessary venues, with support from the site team
- Liaison with the SENCo to ensure that all individual pupil access arrangements are fully understood and can be implemented
- Preparation of seating plans and other documentation
- Ensuring that a system is in place for the collection of internal exam papers
- Managing the daily running of internal examinations.
