Applications are invited for the above permanent full-time post working in the College of Human Sciences to provide clerical support to HEIW commissioned educational programmes specifically within the School of Medical and Health Sciences.

The post holder will provide clerical support to educational programmes and will liaise with colleagues both within and external to the University to ensure effective organisation of the programmes.

The post holder will work with the HEIW Project Officer to provide administrative support to all HEIW commissioned programmes within the School. The main duties will include, for example, the arrangement and administration of meetings including minute taking; responding to student queries about travel and accommodation, processing student travel claims, and booking accommodation for students. Assisting in the collation and organisation of data to support reports, future tender opportunities, and the production of invoices.

The ability to communicate in Welsh is essential for this post.

Purpose of the Job

This post within the College of Human Sciences is to provide an administrative service, engaging and completing a range of routine tasks to meet operational and customer service requirements. The postholder will provide effective clerical support as part of the overall administrative support team within the School of Medical and Health Sciences, holding specific responsibility to support a broad range of administration tasks to ensure the efficient organisation and reporting of all HEIW funded programmes within the School of Medical and Health Sciences.

**Responsibilities**:

- To assist with the organisation and day to day operation of administrative processes and procedures to support all HEIW commissioned programmes.- To communicate effectively with both staff and students and maintain effective working relationships with colleagues within the University, and any external body.- To monitor the student travel claims mailbox, deal with enquiries, and assist with processing student travel claims.- To assist with the collation and organisation of data to support the production of reports on current contracts, and the submission of future tenders.- To assist with the monitoring and collation of data in relation to student funding for all undergraduate and postgraduate programmes.- To organise and support meetings, including minute taking.- To provide effective clerical support for a range of administrative activity within the School of Medical and Health Sciences as required.- To support the organisation of events, as appropriate.- Deal with day-to-day administrative enquiries in an accurate, timely and sensitive manner, escalating more complex issues to the Line Manager.This list of duties is not meant to be exhaustive, but merely an indication of the main areas of activity of the post. It may be amended or added to, at the discretion of the Head of College/Service, with other duties commensurate with the function and grade following consultation with the post-holder.
