**Project Administrator to Account Manager**

Our client develops and delivers persuasive Experiential, Digital and Communication solutions - from concept to completion. They are an adventurous agency both in ambition and geographically. With headquarters based in London, they deliver work globally.

Location: Isleworth London TW7

Reporting to: BAE Account Manager

About BAE and the role:
Our client are supporting BAE with their Global tier 1 programme since 2012. They function as an extension to the BAE events team with a clear remit, but in the true spirit of a partnership and collaboration. This team work purely on BAE our client are looking to extend that team due to changes in their programme. They are looking to reinforce the foundation of the account and ensure they have a robust infrastructure from the top down. Typically, they provide support for the following events on an annual basis:
30 Tradeshows
20 Content lead projects including videos and virtual events
5 Live events (including Hybrid)
Brand Champions in direction and strategy
Support from conception through to execution such as venue liaison and payment co-ordination through to onsite support for the account team.

**Position Summary**:

- The person will work closely with the BAE Account Manager, Project Managers and Finance team to be the lynch pin for the account co-ordination.
- The role will involve reporting into the Account Manager and the retained team for a weekly progress report lead by the PA.
- An understanding of orders, finance and financial tracking with a strong knowledge of Microsoft Excel
- Comfortable and confident with a fast paced environment and taking “off the cuff” requests
- Should be a clear communicator and with strong organisation skills being a must
- Events and Exhibitions background would be good but not critical

**Key Responsibilities**:

- Co-ordination the internal teams and internal/external status meetings
- To monitor, contribute and input information to schedules and budgets
- To act as the communications hub for the internal project team
- Work with the project leads to identify and to mitigate any stakeholder concerns and risks
- Budget templating
- Finance lifecycle of a project
- Reconciliation
- Annual Reporting
- Supplier liaison and coordination
- Venue Booking and payment co-ordination
- Timely reporting of time spent against each project
- Lead on small scale projects for the account team with overview from the account director
- Preparing for and contributing to and minuting client meetings
- Preparing all team members during the pre-production stage for on-site duties
- On site duties

**Other Details**

Hours - Mon - Fri 9.00 am - 6.00pm (1 Hour Lunch)

Salary - £30,000 pa
