**Business Support Officer (E011)**

**My client is a leading organisation based in Belfast, City Centre. Who specialise on delivering support and services to improve the health and wellbeing of those in need. They are currently seeking a Business Support Officer to join their team.**

This is a Full-Time, temporary position, for 6 months, with the possibility of extension

Working hours: 37 hours per week 9am-5pm (hybrid working of 2 days in the office per week)

With a salary of £26,017 per annum

**Job Role**:
You will be providing an effective and efficient administrative support service to the Board and Chief Executive Officer.

**Essential Criteria**:

- A minimum of five GCSEs at Grade C or above, which must include English Language and Mathematics
- 1 years’ experience in providing efficient Administrative Support to include:

- Developing and/or maintaining effective information management systems
- Drafting and/or reviewing communications and reports to a high standard on behalf of others
- Facilitating meetings to include preparation and circulation of papers, minute taking and managing follow up requirements.
- Experience of dealing with a range of internal and external stakeholders
- Excellent knowledge of Microsoft Office packages, to include Word, Excel and PowerPoint
- Excellent communication skills both written and verbal with the ability to communicate with stakeholders at all levels
- Ability to manage and prioritise a busy workload
- Ability to work as part of a team as well as your own initiative

**Desirable Criteria**:

- Experience working in a Personal Secretary (or equivalent) role providing support to senior management

**Main Duties and Responsibilities**:

- Provide administrative support to the Chief Executive Officer and Board when required.
- Draft, edit and format corporate documents, including the Annual Report.
- Timely and accurate preparation of information packs as required by the CEO in advance of scheduled meetings.
- Production of information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Coordinate the collation, quality review and issue of meeting papers in advance of meetings, including Senior Management Team, Board, Audit and Risk Committee, Accountability meetings.
- Recording and circulation of minutes of management meetings, including Senior Management Team, Board, Audit and Risk Committee and Accountability meetings.
- Provide a full secretarial support service to the CEO and Board.
- Producing letters, reports, and papers to a high standard for consideration by the CEO using notes, independent research and own initiative.
- Diary management - planning and organising meetings on behalf of the CEO.
- Acting as liaison between internal and external contacts of the organisation.
- Ensuring systems and procedures are in place to ensure the smooth running of the CEO office.
- Manage and maintain all electronic and paper correspondence for the CEO
- Responding to all external and internal written and oral enquiries in a professional manner, exercising judgement when taking messages, referring calls, and answering routine queries as required.
