They are now looking for an experienced receptionist / Front Office Administrator to join their team as they move into their new offices.

Reporting to the Operations Manager, the Receptionist/Front Office Administrator would be responsible for managing the reception area, meeting rooms and be the first point of contact for visitors. This position will be the ‘face’ of the company and have the critical task of ensuring a warm and professional greeting to all guests and employees who visit the business.

Ultimately, the Receptionist/Front Office Administrator duties and responsibilities ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards and professionalism. The role will report into the Operations Manager.

**Responsibilities**:
Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately

Answer, screen and forward incoming phone calls with the highest discretion

Receiving and sorting daily incoming and outgoing mail and deliveries

Assist with travel bookings and arrangements where required

Ensure reception area is tidy and presentable, with all necessary stationery and material

Manage the booking and upkeep of the meeting rooms including all refreshments and stationery as required

Update relevant calendars and schedule meetings as appropriate

Maintain office security by following safety procedures and controlling access via the reception desk

Liaise with and support all office staff and building management personnel

Ensure timely and accurate customer service

Handle all front desk enquiries and specific requests

Troubleshoot all unforeseen requirements

Order office stationery and supplies with accurate inventory

Keep updated records of front office budgets, expenses and costs

Ensure company’s policies, health and safety and security requirements are met

Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

**Requirements and Skills**

At least 2 years proven professional experience of Receptionist/Front Office Administrator roles

Professional attitude and appearance

Hands-on experience with office machines (e.g. fax machines and printers)

Solid knowledge of basic office management processes and basic bookkeeping procedures

A strong customer service attitude

Proficiency in English (oral and written)

Solid written and verbal communication skills

Proficiency in Microsoft Office Suite

Excellent communication and people skills

Good organisational, time management and multitasking abilities
