Administration Assistant - 15 hours per week

The post holder is responsible for the administration within the administration office at Barnt Green Surgery and is responsible to the Administration Manager.

Major Objectives of the Role

1. Monitor recall system for childhood immunisations and development checks.
2. Administration of the LARC recall system.
4. Support for the recall of Administration of the recalls for Chronic Diseases and NHS health checks
5. Recall & follow up of dairy entries.
6. Medical Secretary Support including flexible extra hours when medical secretary is on annual leave or requirement for sick leave cover.

General Duties

2. Contraception Recall System a. Carry out searches for Long Action Contraception (IUD, implants etc.) b. Ensure patients are called for regular checks as appropriate and diary entries updated.

Job Description - Administration Assistant inc medical secretary & reports c. Ensure non-attenders are followed up as per the specification details. Refer queries to relevant clinician. d. Process monthly and quarterly figures for enhanced service payments

4. Support of Administration of recall system for Chronic Diseases and NHS Health checks (see list below) a. Run reports from disease registers and searches to recall patients for clinic attendance using text messaging service for written letter. b. Liaise with clinical staff if necessary with reference to sending out recalls. c. Monitor responses and follow up when required. d. Liaise with Administration Manager to check status of QOF and enhanced service specifications to ensure recall of patients to maximise practice annual achievement. e. Create necessary blood test forms ensuring all other relevant tests are requested.

6. Medical Secretary a. To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, etc. in an accurate and quality manner. Requirement to cover flexible extra hours when medical secretary is on annual leave or requirement for sick leave cover.

7. Training & Personal Development a. To participate in annual staff development interview, identifying your own training needs with reference to the practice development plan b. With Practice Manager appraise any training you have undertaken to ensure the knowledge or experience you have gained is used effectively

To ensure the smooth running of the surgery by:
Assisting patients to access the most appropriate service or healthcare professional in a polite, courteous, and effective way.
- Providing general assistance to the practice team and projecting a positive and friendly image to patients and other visitors.
- To carry out a variety of administrative tasks for the efficient running of the Practice.
