**Hours: 22.5 Hours per week, worked flexibly across Mon-Fri**
**Salary: £10.58**

**Role Purpose**
The key purpose of this role is to contribute to the office administration in relation to total patient care, secretarial duties and to support the Head of Care, Care Administration Team leader and all members of the care team when appropriate.
The role will also include some day-to-day IT support and system training to the care teams.
**Main Duties**
**To Support the Care Administration Team leader**:
- To be the first point of contact for patient related enquires.
- To ensure that the dignity, safety and confidentiality of all patients are respected at all times and that all patients receive the highest possible standard of physical, psychological and spiritual care.
- Take responsibility for own administration, including filing, always completing to the highest and most thorough standards.
- Process patient referrals, organise discharges and manage waiting lists.
- Support clinical teams with administration tasks.
- Co-ordinate information about the bereavement service, complimentary therapy and carer support services.
- Assist with the administration of patient related audits.
- Prepare and facilitate planning meetings.
- Work collaboratively with admin volunteers.
- Obtaining and tracking feedback questionnaires.
- Assist with sourcing of and purchasing of care related products, including uniforms, badges and security ID, patient equipment.
- Organisation of open house events such as support groups.
- Take phone messages and assist with responses.
- Assist with diary management.
- Organise administrative systems to aid everyday working.
- Practically organise the files and filing system including electronic files.
- Record keeping & archiving in line with Records management NHS code of practice.
- Accurately type letters, reports, policies, tables, graphs and notes of meetings.
- Attend induction training, annual mandatory training, and any other appropriate recommended training.
- In all actions undertaken, have regard for the hospice reputation.
- To comply with safe use, storage and destruction of documentation.
- To be self-aware of demands of role and seek out support if required.
- To communicate effectively and sensitively with patients, carers, staff and the wider team to ensure confidentiality is maintained in all channels of communication.
**General Duties**

- Experience of working with vulnerable people.

- Ability to organise self, prioritise varied workloads, plan effectively and work to deadlines.
- Strong communication skills with the ability to communicate effectively and creatively, both verbally and in writing.
- Ability to support colleagues and build good working relationships at all levels.
- Ability to work unsupervised and work to own initiative.
- It is desirable to have expertise in the use of an electronic patient information system such as SystmOne. Knowledge of PowerPoint, Microsoft Teams and Forms would be an advantage.
